SUMMARY: The Dialysis Secretary is responsible for providing support at the unit level, by maintaining organized records, coordinating information with nursing, nutrition, social and billing services as well as hospitals, laboratories, and regulatory agencies. Will support the unit in achieving quality patient satisfaction, staff development, culture and employee satisfaction. Assists in the maintenances of a safe and clean working environment.
ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following:
- Demonstrates applicable knowledge of policies and procedures related to the position
- Demonstrates the ability to perform technical skills related to the position
- Manages information utilizing appropriate manual or electronic systems
- Maintains and updates any necessary records and reports including the network database needed for daily unit functioning and HCFA requirements in a neat and orderly fashion
- Maintains confidentiality and completes documentation as required
- Communicates appropriately with unit personnel, patients and family
- Maintains a filing system for the unit
- Completes assigned monthly reports accurately and in a timely manner
- Actively participates in unit staff meetings, in services, as appropriate
- Monitor corrective and preventive actions
- Enter all quotes and bills into MICRO after verifying items were ordered/received as back up to Office Manager
- Demonstrates the ability to perform technical skills related to the position. Manages information utilizing appropriate manual or electronic systems.
- Maintains confidentiality and completes documentation as required.
- Actively participates in unit staff meetings, in-services, as appropriate. Interpret and implement quality assurance standards.
- Compile customer complaints and nonconformance issues. Provide information to Unit Manager.
- Receives incoming calls, greets patients and visitors
- Assist with keeping offices/unit clean/organized.
- Maintains a safe environment for self, patients and staff by utilizing proper body mechanics and following universal infection control precautions and cleaning procedures under OSHA regulations Demonstrates ability to work with any patient or staff, regardless of race, gender disease process, life-style, religious or cultural beliefs, or treatment
- Promotes, supports, and adheres to all policies outlined in the Employee Handbook
- Inventory of office supplies and needs list presented to Unit Manager
- Ability to develop memos/letters as requested by Unit Manager
- Put patient admit packets together and keep up to date
- Keep all patient demographics current
- Do patient reminders for appointments.
- Communicate with drivers and unit staff as needed for patient transportation
- Rotate medical records as needed
- Help maintain organization of store rooms
- Request gas vouchers as needed for patient travel
- Pickup mail, separate and give to appropriate Staff.
- Back up driver if needed
- Assist with patient incentives
- Performs other duties as assigned

EDUCATION and/or EXPERIENCE:
- High school diploma or GED
- Clerical experience, preferably in the medical environment
CERTIFICATES, LICENSES, and/or REGISTRATIONS:
- Driver's license and insurable by CTCHEC insurance
KNOWLEDGE, SKILLS, and/or ABILITIES:
- Computer knowledge required, i.e. Microsoft applications
