Position Overview

The Admissions and Main Office Coordinator has an important role supporting admissions and school operations. A main point of contact with current and prospective students and families, staff and faculty, and external vendors, the position requires a warm, engaging personality and a person who believes in our mission and enjoys interacting with the public on behalf of the school.

The Admissions and Main Office Coordinator will support all aspects of the admissions process from inquiry to enrollment and will provide administrative support for the school community. A successful candidate will possess excellent interpersonal and organizational skills, a collaborative mindset, a strong customer service orientation, a strong work ethic, and believe in the mission of Open Window School—to nurture and inspire students of high intellectual potential. This is a position for a highly organized, detail-oriented individual who wants to work in a fast-paced, joyful, collaborative environment and manage multiple tasks simultaneously. A sense of humor is helpful.

Major Areas of Responsibility:

Admissions

  • Demonstrate a clear understanding of the mission of Open Window School and be able to be an advocate for Open Window while supporting the school and its leadership.
  • Work to honor and uphold the principles and goals of diversity, equity, inclusion, and belonging in the best interests of prospective students and families, current students and families, and staff.
  • Provide administrative support for the Director of Enrollment Management and Assistant Director of Admissions.
  • Accurately track applicant data from inquiry through enrollment; support management of online student record information to ensure accuracy and integrity of data for incoming inquiries and applications.
  • Respond to admissions emails and phone calls.
  • Support the Assistant Director of Admissions in coordinating and tracking all admissions-related events, including campus tours and admissions appointments with prospective students and families; assist with hosting applicants and campus tours.
  • Maintain accurate, updated, and timely academic records for each applicant.[RV1] [CK2] [RA3] 
  • Perform other duties as assigned.

Main Office

  • Serve as Main Office Receptionist; warmly and actively greet parents, students, staff, and guests. Direct as appropriate, providing guest badges and ensuring visitor protocols are followed. Maintain a tidy, safe, and welcoming main office space.
  • Organize coverage for the main office, ensuring coverage from 7:30am until 6pm.
  • Perform general office duties including answering multi-line phones, typing, filing, sorting, and handling incoming and outgoing mail.
  • In coordination with the Lower School Administrative Assistant and the Middle School Operations Coordinator, inventory, order, and stock supplies and materials for the school.
  • Manage, coordinate, and oversee the All School Planning Calendar.
  • Provide administrative support for the OWS summer camp.
  • Assist staff in the operation of copy center facilities, materials, and equipment.
  • Appropriately maintain and secure confidential records and inquiries.  Professionally represent the School in interactions with parents, community, staff, and students.  
  • Report issues to authorities as necessary, animal control, suspicious activity etc.
  • Perform other duties as assigned.

Skills:

  • Bachelor’s degree and/or two or more years of relevant administrative experience.
  • Knowledge of or experience with gifted education is a plus.
  • Excellent written and verbal skills.
  • Demonstrated attention to detail and strong organizational skills
  • Strong computer skills and proficient user of Microsoft Office, and a willingness to learn new technology as needed. Proficiency in admissions management software a plus.
  • Discretion and professional handling of sensitive and confidential information.
  • Collaborative and proactive problem solver.

Position Details:

Manager: Director of Strategic Program Development and Enrollment Management

Compensation: $31.00 - $36.00 per hour

Position Classification: Non-Exempt, Full Time

Hours: Core business hours of 9:30am – 6pm, occasional weekend and evening work required
