What are the responsibilities and job description for the Staff Accountant position at The Orchard?
PURPOSE:
The purpose of the Staff Accountant is to ensure sound financial management of the church’s resources. This role is
essential for maintaining the integrity and accuracy of the church's financial operations to support the ministry strategic priorities.
KEY RESPONSIBILITIES:
1. General Ledger and Financial Management
- Maintain accurate financial records, including general ledger, accounts payable, accounts receivable, and payroll in accordance with fund accounting principles as part of monthly and annual close procedures.
- Prepare and process all financial transactions, including deposits, checks, and electronic payments.
- Reconcile bank statements and other financial accounts monthly.
2. Contributions and Donor Management
- Administer, record and acknowledge all donations, pledges, and contribution activities, ensuring accuracy of donor designations and confidentiality.
- Prepare and assist in the distribution of annual giving statements to donors.
- Maintain donor giving records and directed contributions in church management system.
3. Accounts Payable and Payroll
- Ensure timely payment of all accounts payable and compliance of appropriate expense approvals.
- Manage vendor records and fulfill IRS tax filing requirements (e.g., Form 941, Form 1099s, W-2s).
- Perform bi-weekly payroll and reconciliation procedures accurately, related to health and retirement benefits, flexible spending accounts, insurance, salary deductions and payroll taxes.
4. General Projects
- Perform supporting reconciliation and documentation in annual financial and Worker’s Compensation audit, as necessary.
- Perform special projects and other necessary tasks in support to the Director of Finance.
QUALIFICATIONS:
Education/Training
- Bachelor’s degree in accounting or a related field required.
- Minimum of three years of accounting experience, preferably in a non-profit or church environment.
- Proficiency in accounting software (e.g., QuickBooks/ERP systems) and MS Office Suite (Excel, Word).
Skills/Abilities
- High-level of accuracy and attention to detail.
- Strong organizational, analytical, and problem-solving skills to execute tasks in a timely manner.
- Team player with strong communication and interpersonal skills to collaborate and support ministry leaders and correspond to church donors.
- Ability to maintain donor confidentiality and handle sensitive financial information.
- Ability to work independently and foster process improvement.
