JOB SUMMARY:
This position plays a key role in supporting the initiatives and programs of the Community Engagement and Finance Teams, including event registrations, partner engagement, and digital marketing efforts. This position is responsible for managing event data, tracking partnership benefits, coordinating invoicing, reconciling customer payments and ensuring seamless execution of marketing initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Partner Engagement & Listings Management
- Maintain and update partner listings, ensuring all benefits are accurately applied.
- Conduct regular audits of listings on ThePalmBeaches.com to verify that new partners receive their entitled benefits.
- Review and approve partner-submitted events, updates, promotions, and coupons.
- Assist in the collection of Visitor Guide listings and advertisements from partners.
Event & Registration Management
- Oversee on-site and online event registration, ensuring a smooth and efficient process.
- Link attendee names to events within the Eventsforce module for accurate tracking.
Marketing & Digital Advertising Coordination
- Compile and deliver monthly recap reports on marketing initiatives, including Native Ads, Newsletters, Facebook Ads, and other promotional efforts.
- Enter and manage Native Ads in Google Ad Manager to optimize reach and effectiveness.
- Coordinate the trafficking of all email-related benefits to the Marketing Team.
- Update the portal carousel and event listings to ensure content remains current and relevant.
Billing & Financial Support
- Assist with consolidation of billing support and creation of PDF invoices for Palm Beach County.
- Create and send invoices for Partnership Programs and other revenue-generating initiatives.
- Prepare check deposits through the Banking, Accounting, and CRM systems.
- Reconcile online credit card transactions for private revenue payments and apply them to customer accounts.
- Verify and correct customer balance and billing errors in the accounting software.
- Follow up on outstanding invoices and maintain an accurate invoice log.
- Assist with managing reports and statements for company credit cards.
- Performs all other duties as requested.
QUALIFICATIONS, EDUCATION, EXPERIENCE
- Associates degree (A.A.) or proficient experience in communications, marketing, customer service, and/or administrative services is preferred.
- Two years related experience in business, communications, marketing, promotions, and/or public relations.
- Strong attention to detail and ability to manage multiple tasks simultaneously while demonstrating a sense of urgency and ability to meet deadlines.
- Strong data entry experience with attention to detail and accuracy.
- Must have knowledge of office processes, procedures, and technology, including proficiency in MS Office products, especially Excel. Must have the ability to learn new software applications.
- Proficiency in CRM systems, Google Ad Manager, and event management platforms such as Eventsforce.
- Knowledge of billing, invoicing, and reconciliation processes.
- Excellent organizational and communication skills.
- Experience in partner engagement, digital marketing, or community outreach is a plus.
- Must be able to communicate effectively both verbally and in writing with various audiences.
- Must have interpersonal skills, with the ability to resolve situations with limited incident.
- Must be flexible and be able to adjust to changing conditions and circumstances.
- Must demonstrate a positive attitude and cooperate with other DTPB departments and staff.
- Must have a valid driver’s license.
