We are looking for a Medical Scribe / Assistant to play a key role in supporting daily clinic operations and ensuring high-quality patient care. In this role, you will work closely with the lead physician as his trusted assistant, attending and documenting consultations in person or via Zoom, and assisting in overall workflow. Your ability to stay organized, multi-task, and adapt while planning ahead will be essential to staying on track with tasks.

Key Responsibilities
- Chart preparation
- Welcoming patients and performing intake
- Controlling the flow of consultations by providing reminders of what needs to be reviewed, answered, and time tracking.
- Utilizing scribe AI software to enhance documentation and ensure accuracy.
- Editing AI notes into comprehensive system-based notes (Power2Practice EMR)
- Multi-tasking during lengthy appointments while maintaining active listening.
- Completed accurate checkout form for task creation in our project management software - Monday.com.
- Update patient medical spreadsheets with any changes
- Sending concise yet informative recap emails to patients and team members after each appointment.
- Pre-booking patients for their next quarterly visit and occasionally collecting payment
- Collaborating with Liaisons and other team members through Zoom, WhatsApp, and other communication tools to ensure the patient’s protocol is followed
- Organize and prepare everything for the Doctor’s daily tasks.
- Uploading consents and other documentation
- Completing necessary records request
- Send prescription refills and complete limited PARs
- Order labs, diagnostic orders, and create referral notes as needed.
- Occasional communication as needed with patients through text, calls and emails.
- Maintain a tidy front desk and office
Skills & Qualifications
- Active Listening and Comprehension: Ability to attentively listen, process verbal information accurately, and translate it into actionable tasks or documentation.
- Skilled Multitasker with Cognitive Flexibility: Balances listening, documenting, and assisting with tasks simultaneously without losing accuracy.
- Strong communication skills, both verbal and written.
- Fast and accurate typing skills
- Tech savvy
- Professional and empathetic customer service centric
Preferred:
- Experience in Google Suite
- HIPAA Trained
- Familiarity with basic medical terminology and prescriptions
- Proficiency in tools like Power2Practice, Mondays.com, HeidiHealth Scribe, and medical platforms for ordering.
- A calm and professional demeanor under pressure, with the ability to manage a fast-paced workload.
Preferred Experience
- Prior experience as a medical administrative assistant or scribe is a plus.
- Familiarity with digital tools for patient and task management.
- A problem-solver with a proactive and outgoing personality.
Work Environment
This role operates in a dynamic, collaborative environment where adaptability, accuracy, and excellent communication are key. Some days will be more demanding, with appointments running over time. Staying flexible and communicating effectively with the team will help maintain a smooth workflow.
The position allows for occasional hybrid work, so remote work tools like at home dual monitors, reliable internet and private home office is required if you desire to take advantage of the opportunity when it arises.
