Key Responsibilities:
Accounting:
- Manage all aspects of invoicing, including creating, sending, and tracking client invoices.
- Handle month-end close activities, including reconciliations and financial reporting.
- Record and maintain journal entries, ensuring accuracy and consistency.
- Oversee accounts payable and receivable, ensuring all transactions are processed efficiently and on time.
- Use QuickBooks to maintain financial records and generate insightful reports.
- Prepare and present financial statements for leadership, providing clear and actionable insights.
- Assist with budgeting processes by providing accurate financial data and projections.
- Collaborate on strategic planning by analyzing financial trends and offering data-driven recommendations.
- Support external audits as needed, ensuring accuracy and compliance with accounting standards.
Payroll & HR Administration:
- Process biweekly, high-volume multi-state payroll for employees across multiple locations accurately and on time, ensuring compliance with all federal and state regulations.
- Handle the complete onboarding process for new hires, ensuring all documentation, orientation, and compliance requirements are met.
- Maintain accurate employee records in accordance with legal and company requirements.
- Serve as the primary contact for employee inquiries regarding payroll and benefits.
- Administer employee benefits, handling updates and changes as needed.
General Administration:
- Be the sole point of contact for all accounting, payroll, and HR-related matters.
- Streamline accounting and payroll processes to improve efficiency and ensure compliance.
- Provide leadership with valuable insights based on financial and payroll data.
Qualifications:
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
- 5 years of experience in an accounting and payroll role, with a strong focus on payroll and invoicing responsibilities.
- Proficiency in QuickBooks and Microsoft Excel.
- Strong understanding of multi-state payroll processing and HR compliance.
- Experience with month-end close, invoicing, financial reporting, and budgeting.
- Familiarity with strategic planning and providing data-driven recommendations.
- Exceptional organizational skills and keen attention to detail.
- Ability to work independently and prioritize multiple tasks efficiently.
- Excellent interpersonal and communication skills.
