Our client, a prestigious law firm, is seeking an Office Manager & Paralegal to join their team!
Key Responsibilities & Duties:
Office Manager Duties:
- Leads the support staff, ensuring effective teamwork, efficiency, and alignment with firm goals.
- Oversees the Legal Assistant/Administrative Assistant (LAA) team, delegating tasks for timely completion.
- Communicates and interprets company policies and office procedures effectively.
- Assists in resolving workplace challenges and motivates staff towards goal achievement.
- Manages time records for support staff to ensure proper office coverage.
- Serves as the main contact point for attorneys in the absence of their assigned LAA.
- Coordinates lunch breaks and schedules to ensure continuous office coverage.
- Assists in the recruitment, onboarding, and training of new support staff.
- Oversees file management and coordinates off-site storage transitions.
- Helps organize firm-sponsored events and assists with other administrative functions.
Paralegal Duties:
- Prepares exhibits, appendices, and other documents for legal proceedings.
- Sets up and manages war rooms for trials and arbitrations.
- Attends and assists during depositions, hearings, trials, and arbitrations.
- Drafts legal documents, subpoenas, and other correspondence.
- Conducts legal research, monitors proceedings, and identifies potential witnesses.
- Supports due diligence efforts and assists with documenting research findings.
- Coordinates with attorneys, litigation support, IT, and office services teams.
- Keeps up-to-date on procedural rules, e-filing systems, and e-discovery processes.
Required Qualifications & Competencies:
- High School Diploma or equivalent required.
- 2-4 years of management experience (preferably in law firm management).
- 3-5 years of experience working in a law firm.
- Proficiency in Microsoft Office and iManage document management software.
- Excellent organizational skills with the ability to manage and prioritize tasks within deadlines.
- Capable of handling confidential information with discretion.
- Strong communication and interpersonal skills for engaging with clients, attorneys, and staff.
- Ability to lift up to 50 pounds and retrieve items from high shelves (up to 8 feet).
- Flexibility to work irregular hours, occasionally exceeding 40 hours per week, and a high level of adaptability.

Salary : $90,000 - $95,000
