Position Summary
Reporting to the Director of Operations, the Transportation Manager directly supervises Pingry employee drivers. In addition, the Transportation Manager will be visible, personable, and responsible for helping aid each student through safe and efficient transportation and the ability to take advantage of a range of curricular and extracurricular activities offered by The Pingry School.
They will act as stewards of Pingry’s resources, reputation, and the safety of the school community. Additionally, they will deeply understand and commit to the School’s culture and its various components. They must also be committed to driving DEIB within decision-making across the scope of their work.
This is a 12-month, Full-Time Staff position.
Responsibilities
Program Development and Administration:
- Develop, administer, and continuously improve a comprehensive transportation program to meet students' daily needs, including routes for day-to-day transportation, extracurricular activities, co-curricular events, and summer travel across three campuses.
- Coordinate driver support for the transportation needs of Pingry's athletics department.
- Oversee all district-provided transportation processes, including B6T submission and B8T verification, ensuring accuracy and compliance.
- Lead collaboration efforts with busing partners to design new routes and optimize existing ones to accommodate changing enrollment and ensure operational efficiency.
- Analyze and adapt transportation routes and schedules based on data and feedback to improve service quality and cost-effectiveness.
- Ensure all transportation services comply with Federal, State, and Local legislation, including staff permitting and licensure, as well as fleet vehicle maintenance.
- Develop and implement safety protocols and risk management strategies to minimize accidents and incidents.
Stakeholder Communication and Relations:
- Serve as the primary contact for all transportation-related inquiries from school community members, facilitating the intake, investigation, and resolution of concerns in a timely manner.
- Develop and implement communication strategies in partnership with the Assistant Director of Communications - Internal Strategy to provide timely updates on transportation matters, including weather updates, bus delays, and important registration information.
- Work collaboratively with representatives from various school departments to coordinate transportation logistics for key events.
Driver Management and Supervision:
- Supervise and manage employee drivers, including coordinating backup drivers and serving as a backup driver when necessary.
- Oversee the recruitment, training, and performance evaluation of transportation staff to maintain high standards of service and safety.
- Manage and monitor the authorized vehicle driver registration list, ensuring annual MVR checks are completed for each registered Pingry vehicle driver.
Fleet Management:
- Oversee the management of vehicle maintenance schedules, ensuring timely repairs and regular upkeep of the fleet.
- Coordinate with the Accounts Payable Supervisor to maintain up-to-date vehicle registrations and ensure NJ DMV vehicle inspections are completed before expiration.
- Monitor the appearance, cleanliness, and proper functioning of all vehicles within the fleet.
- Manage the distribution and monitoring of the Pingry Fleet, ensuring optimal utilization of resources.

Qualifications
- Proven leadership and management skills in a transportation or logistics environment.
- 5 years of experience in the field of transportation.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and priorities effectively.
- Knowledge of transportation regulations and fleet management practices.
- Experience in managing a team and providing excellent customer service.
- Proficiency in using transportation management software and other relevant tools.
- Applicants must possess or obtain a Class B Commercial Driver's License (CDL) with Passenger (P) and School Bus (S) endorsements within the first 90 days of employment (Pingry will support the training and certification if necessary).
- Excellent Motor Vehicle Commission history (current Driver’s Abstract will be required).
- Strong interpersonal and customer service skills.
- Ability to proactively identify and resolve operational problems and conflicts as they arise.
- A flexible and collaborative approach to resolving business issues as they arise.
- Ability to lift 50 lbs.
- Prior experience with Google business applications, particularly Gmail and Google Calendar.
- Ability to quickly understand and master various web-based computer applications such as Veracross, Ruvna, School Pass, Google Suite, and Milestone X Protect.
