About The Pixie Project
The Pixie Project, a growing non-profit animal rescue, is looking to add a Full-Time Administrative Assistant to our team! We’re looking for someone with strong organizational and communication skills who can greet visitors at our door and offer direct administrative support to our Executive Director. No animal experience required—we’re looking for someone to help manage the emails, phone calls, and paperwork generated by the adoption program, to make sure all inquiries are answered, and to relay information between our adoption teams, kennel staff, and the public.
About the Role
The Pixie Project is seeking a hard-working and positive person to join our team as an Administrative Assistant, greeting people at the front door and offering support to the Executive Director.
- Working closely with the Executive Director and colleagues in a collaborative way that facilitates communication between Pixie staff, volunteers, and the public.
- Answering the door, greeting visitors, and directing them to the appropriate person.
- Preparing the daily calendar and office for the day’s activities.
- Answering phone calls, emails, and other correspondence as directed.
- Organizing and processing incoming and outgoing mail.
- Creating, collecting, and organizing records across several software platforms.
- Processing payments for clinic services and donations.
- Handling paperwork and communications for shelter and clinic appointments.
- Perform other duties as assigned.
Desired Skills Experience
Prior experience working with animals or in a front desk setting can be helpful but is not required. More important to us is finding someone with a positive attitude, strong work ethic, and willingness to learn. Other key skills/qualities for the Administrative Assistant position include:

Schedule Pay Rate
This is a 38-hour per week full-time position. Admin Assistants work during Pixie’s open hours, Tuesday-Friday 10am-6pm and Saturdays from 10am-4pm.
The starting pay rate for this position is $20/hour.
