About The Player Progression Academy (PPA)

The Player Progression Academy (PPA) is a premier youth sports academy located in the Washington, DC metropolitan area. PPA offers comprehensive athletic programs for players aged 2 - 18 in basketball, soccer, and futsal. With an expansive community of over 3000 players, a dedicated team of over 100 coaches, and an office staff of 20 individuals, PPA is committed to fostering player development both inside and outside of the lines.

Position Summary

The Development Hoops League Administrator plays a crucial role in ensuring smooth day-to-day operations of the program. This is a customer-facing role that requires excellent communication, organization, and responsiveness. The individual will be responsible for managing administrative tasks, corresponding with parents, maintaining accurate program schedules, and ensuring all inquiries are handled in a timely and professional manner.

Key Responsibilities

  • Customer Service
  • Manage the Development Hoops admin email inbox, responding promptly to all parent inquiries.

  • Answer the Development Hoops phone line (Monday-Friday, 10 AM - 2 PM) to assist parents with questions and concerns.
  • Send out program wide communication to parents before, during, and after the season
  • Program Administration :
  • Assist with creating practice and game schedules

  • Enter practice and game schedules into the PPA Portal, ensuring accuracy and timely updates.
  • Keep the Development Hoops website updated with current seasonal information, including registration details, schedules, and program policies.
  • Conduct weekly audits of facility space to ensure off dates are accounted for
  • Place free agents onto rosters
  • Internal Coordination :
  • Maintain organized records and documentation related to player registrations, schedules, and program updates.

  • Work closely with the Development Hoops leadership team to ensure smooth program operations.
  • Data Analysis
  • Conduct analysis and report out on various data sets across the program (i.e. facilities, staffing, schedules, etc.) to assist leadership in making decisions on the direction of the program

  • In depth knowledge of excel and prior experience with data manipulation is required
  • Requirements :

  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Proficiency in Microsoft Excel (or Google Sheets)
  • Ability to multitask and respond promptly to internal and external inquiries
  • Previous customer service or administrative experience is a plus
  • Passion for youth sports and player development
  • Work Schedule & Location :

  • Monday - Friday, 9 AM - 5 PM (full-time)
  • Hybrid role : Primarily remote with occasional in-person meetings, especially during busy periods (e.g., the few weeks leading up to the start of a season).
