Job Summary:
We are seeking a professional, reliable, and highly organized Administrative Assistant to support our Director of Operations and manage internal and external communications for our organization. The ideal candidate is a proactive problem-solver with exceptional communication skills, keen attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Answer and direct incoming phone calls promptly and professionally.
- Screen calls and take accurate messages or redirect as appropriate.
- Manage and maintain the Director of Operations calendar, schedule meetings, and coordinate appointments.
- Prepare correspondence, reports, presentations, and other documents as needed by the Director of Operations.
- Assist in preparing for executive meetings, including agendas and materials.
- Organize and prioritize incoming emails and communications.
Qualifications
- 1 years of administrative experience
- Strong phone etiquette and professional communication skills
- Exceptional organizational and time-management abilities
- Ability to remain composed under pressure and adapt to shifting priorities
- Discretion, integrity, and a high level of professionalism
Preferred Skills:
Prior experience as an administrative assistant
Familiarity with scheduling software and phone systems
Strong writing abilities
Basic knowledge of project coordination
