Position Overview
The Service Dispatcher is responsible for coordinating and dispatching service calls and ensuring the efficient allocation of resources to meet customer needs. This role involves managing schedules, communicating with technicians and customers, and maintaining accurate records to ensure exceptional customer service and operational efficiency.
Key Responsibilities
1. Service Call Coordination
o Receive and prioritize service requests from customers.
o Schedule and dispatch technicians to service calls based on priority, technician availability, and location.
o Monitor and adjust schedules to accommodate changes or emergencies.
2. Service Call Coordination
o Review and manage pick sheets for each job to ensure all required materials are identified.
o Verify material availability in the inventory room before dispatching jobs.
o Communicate with the Inventory Specialist and Service Manager to order any missing materials.
o Ensure all materials are prepared and staged in advance to avoid delays during service calls.
3. Communication
o Communicate job details and expectations clearly to technicians.
o Provide customers with updates on technician arrival times and job progress.
o Serve as the primary point of contact between customers and technicians during service calls.
4. Administrative Duties
o Maintain accurate records of service calls, including time, location, and services performed, using the Buildertrend system.
o Document customer interactions and resolutions for future reference.
o Assist with generating reports and tracking performance metrics.
5. Resource Management
o Ensure technicians are equipped with the necessary tools and materials for each job.
o Monitor inventory levels of service materials and communicate restocking needs to the Inventory Specialist.
6. Customer Service
o Provide exceptional customer service by addressing inquiries, concerns, and complaints promptly.
o Follow up with customers post-service to ensure satisfaction and resolve any outstanding issues.
7. Team Collaboration
o Work closely with the Service Manager to optimize daily operations.
o Support office staff and other departments as needed.
Includes all other duties as required by management.

Qualifications
- High school diploma or equivalent; additional education or certifications in office administration, logistics, or a related field is a plus.
- Previous experience in dispatching, customer service, or a similar role is preferred.
- Proficiency in scheduling software, Buildertrend experience is highly desirable.
- Strong communication and organizational skills.
- Ability to multitask and remain calm under pressure.
- Familiarity with the construction or service industry is a plus.

Working Hours
- Standard office hours are 7:30 AM – 4:30 PM, with occasional flexibility required based on workload or emergencies.
