Key Responsibilities
Project Planning and Scheduling
- Develop comprehensive project plans, outlining tasks, timelines, milestones, and resource needs for each initiative.
- Define project scope, objectives, deliverables, and success criteria in alignment with marketing goals and stakeholder expectations.
- Create and manage project timelines, setting clear deadlines and ensuring tasks are prioritized effectively to meet project goals.
Resource Management and Allocation
- Assess resource requirements for each project, coordinating with the Creative Director and Director of Channel Strategy to allocate team members, tools, and materials appropriately.
- Monitor team workload to prevent bottlenecks, ensure optimal productivity, and manage resource allocation efficiently across concurrent projects.
- Identify when external resources or freelancers are required, working with the Executive Director of Marketing to secure necessary approvals.
Stakeholder Communication and Coordination
- Serve as the primary point of contact for project stakeholders, providing regular updates on project progress, timelines, and any potential roadblocks.
- Facilitate communication between the creative, strategy, and engagement teams to ensure all parties are aligned on project objectives and timelines.
- Schedule and lead project meetings, including kick-off meetings, regular check-ins, and post-project debriefs, ensuring clarity and alignment at each project phase.
Risk Management and Problem Solving
- Proactively identify potential risks and obstacles in the project lifecycle, implementing mitigation strategies to avoid delays or budget overruns.
- Resolve issues as they arise, making quick, informed decisions to keep projects on track without compromising quality or scope.

- Implement processes to guarantee that feedback and approvals are obtained from relevant stakeholders in a timely manner.

- Continuously evaluate and refine project management processes, identifying areas for improvement to increase efficiency and effectiveness.
- Implement best practices for project management, including task prioritization, workflow automation, and document organization.
- Establish standardized project templates, checklists, and workflows to streamline planning, execution, and tracking across projects.
Performance Analysis and Reporting
- Track and analyze project performance, documenting key metrics (e.g., on-time completion rate, budget adherence) to inform future projects.
- Conduct post-project evaluations to gather insights, capture lessons learned, and make recommendations for process improvement.
- Prepare and present regular reports on project outcomes, challenges, and successes to the Executive Director of Marketing and other stakeholders.

Experience:

- Proficiency in project management tools (e.g., Asana, Trello, Microsoft Project) and familiarity with CRM and marketing software.
