What are the responsibilities and job description for the Administrative Assistant to Property Manager position at The Property Group of CT, Inc.?
The assistant is responsible for assisting their assigned Property Manager(s) with their portfolio of properties. They must be professional & responsible at all times. Daily, prompt attendance is expected.
Skills: Strong word processing skills, including Microsoft Word and Excel, good organizational skills, good telephone manner – must be able to manage their time effectively, be highly-energetic, ability to learn new skills quickly as well as software programs: ,VMWare (Cloud based file server), VANTACA (database) system, CondoCerts Resale/Questionnaire Program, E-Certify.
Responsibilities: The day-to-day duties include, but are not limited to:
· Assist PM with day-to-day management of property portfolio, including by not limited to sending emails, faxing documents, violation letters, property notices, newsletters, preparing mailings, responding to messages,
· Communicate extensively with unit owners including but not limited to:, responding to unit owner inquiries (phone calls and/or emails) promptly (or at least of end of each work day) and knowing when to contact PM and/or higher level in order to give proper answers/resolution, answering general questions, i.e. forgotten trash pickup, light bulb changes, etc., updating owner information in VANTACA (may include parking logs/parking stickers; pool tags; intercom updates, or similar items on behalf of PM).
· Communicate with vendors, included but not limited to: typing/sending work orders, making timely follow up phone calls, assisting in organizing proposals/estimates.
· Prepare resale documents; following up with attorneys re: closings. Maintain and update resale and condo questionnaire data via our online vendor CondoCerts
· Update vendor lists and unit owner information as required.
· Coordinate special projects as advised by manager for property as necessary
· Set up and maintain file drawers for respective clients.
· Develop a general understanding of rules and regulations for the properties in PM’s portfolio.
· Become familiar with properties (physically visit on occasion with PM when possible) to have a visual sense of what individuals are calling in about.
· Provide assistance to other managers in overflow times or in absence of other admin(s).
· Keep a neat and tidy desk/cube area.
Candidate must understand that we are in a service industry, they must be considerate, polite and professional regardless of how inconsiderate the individual may be on the opposite end of a telephone. Good attendance is a must. Prior property management experience is helpful, not mandatory.
