Chief of Staff - High Net Worth Family Office
High Net Worth Family Office is seeking a highly intelligent, organized, quick-thinking and resourceful Chief of Staff to keep a busy co-CEO on track professionally and personally.
Responsibilities:
- Arrange and see through to full execution complicated, multi-destination international and domestic travel for Co-CEO
- Directly manage Co-CEO’s Personal Assistant (“PA”) and, as the lead support resource, take ownership of the PA’s work product, duties and priority list
- Identify improvement opportunities to elevate efficiency and effectiveness of the current support function
- Work closely with Family Office management team to create and implement policies, procedures and systems
- Oversee projects at Co-CEO’s residences, including working closely with building staff, contractors, and other vendors
- Coordinate with various parties in multiple locations to ensure the residences are prepared for Co-CEO arrival and monitor the status of systems when properties are not in use
- Manage and own Co-CEO’s calendar to maximize efficiency, based on priorities, goals, and travel schedule. Proactively anticipate conflicts and provide recommendations to optimize time.
- Work closely and effectively with the Co-CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
- Exhibit consistent cost-conscious approach and treat the Co-CEO’s expenses as they would their own; research most financially efficient way to execute tasks and provides reasonable options
Qualifications:
- 10 years of experience supporting senior level executives within a High Net Worth / Family Office environment
- Strong managerial skills
- Experience with planning and coordinating complex travel arrangements, both domestic and international
- Experience working with contractors, building staff, and other service providers
- Strong written and verbal communication skills
- Ability to multitask and handle multiple projects simultaneously with focus, accuracy, and efficiency
- Highly proficient computer skills (MS Office, primarily Excel and Word)
- Ability to work effectively and independently with little or no supervision
- Ability to take direction and take feedback constructively
- Aptitude for receiving and responding to correspondence via text or email with a concise communication style
- Strong attention to detail
- Able to maintain a high degree of professionalism and discretion in all activities, particularly when handling sensitive and confidential information
- Able to utilize independent judgment and initiative to decipher between routine administrative decisions that need to be made on behalf of the Co-CEO and when to confer with the Co-CEO or others on more complex decisions
- Self-directed, proactive and one who approaches problems with a sense of possibility; able to anticipate needs of the Co-CEO before they arise; able to quickly solve problems oftentimes under pressure
- Experienced with flight operation processes as it relates to a privately-owned aircraft
- Flexible and accessible 24/7, particularly when an urgent or sensitive matter arises
Salary : $175,000 - $225,000
