Job Summary:
The Project Coordinator plays a crucial role in managing project records. This position is responsible for accurate entry of AP invoices and payments; distributing project related invoices to clients and timely job number set up. In addition, this position works closely with both the excavating & landscaping divisions to coordinate ongoing project activities, ensures deadlines and documentation standards are met (including insurance), and maintains comprehensive project documentation.
Duties/Responsibilities:
· Leads all job number & extra set up upon request
· Create accounting entries in ERP as needed.
· Prepare, print, and obtain signatures on accounts payable checks.
· File accounts payable documents.
· Reconcile supplier statements with the Accounts Payable System.
· Manage day-to-day processing, issues, and reconciliations related to specified vendors.
· Coordinate on-going project activities.
· Break down projects into manageable tasks with timeframes and goals.
· Maintains comprehensive project documentation.
· Print plan sets as needed
· Upload plans, specifications, documents etc. to Procore
· Create & manage Purchase orders/Sub-agreements
· Manage Subcontractor COI’s
· Acquire performance & payment, warranty bonds
· Project closeout documentation as needed
· Distribute AR pay applications
· Create & distribute AR waivers
· Review monthly invoice unit costs on supplier invoices
Accountabilities:

· Sets up all jobs and maintains comprehensive project documentation
· Ensures we have proper insurance in place with insurance carrier, Including sub-contractor insurance
· Assists with cash flow management
Required Skills/Abilities:
· Strong attention to detail
· Strong analytical and problem-solving skills
· Excellent communication, time management and interpersonal skills
· Basic to intermediate excel skills
· Experience handling invoices, vendor communication, and administrative tasks
Education and Experience:
· Previous experience in project management, accounting or finance roles
· Construction experience preferred
· Proficiency in Accounting software
· Data entry
· Understanding financial reports and reporting
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
