A Brief Overview
Responsible for managing front desk operations while providing comprehensive administrative support with contract staffing, contracts, onboarding, and talent acquisition. This role includes 60% support for contract staffing and front desk activities, 20% onboarding assistance, and 20% talent acquisition support. The HR Coordinator will ensure compliance, maintain documentation, and serve as a primary administrative point of contact for HR functions. This position requires strong organizational, communication, and time management skills, with a focus on supporting HR processes effectively.
What you will do
- Front Desk and Contract Staffing Support (60%) Serves as the primary front desk contact, handling inquiries, directing visitors, and providing general administrative support. Collaborates closely with the manager to ensure effective coordination and administration of contract staffing processes, including tracking contract terms, renewals, and deliverables. Maintains comprehensive records of staffing agreements and vendor contracts, ensuring all documentation is complete, accurate, and readily accessible for review by the manager. Assists the manager in monitoring contract performance by tracking staffing levels, ensuring compliance with agreed terms, and identifying potential areas for improvement or risk. Prepares detailed reports for the manager on contract staffing metrics, such as vendor performance, costs, and utilization, to support decision-making and contract negotiations. Assists with vendor relationship management, including scheduling meetings, preparing agenda items, and following up on action items to ensure smooth collaboration with external partners. Assists the manager in budget monitoring and financial tracking for contract-related expenditures. Supports the renewal and amendment process by gathering necessary documentation, coordinating signatures, and ensuring timely submission to internal stakeholders and vendors. Assists the manager in identifying and resolving contract-related issues, including compliance concerns, staffing shortages, or discrepancies in terms, escalating complex issues when necessary.
- Onboarding Support (20%) Prepares onboarding documentation for new hire orientations, and ensure all required paperwork is completed. Serves as a point of contact for onboarding-related questions and concerns from new hires, internal teams, and third-party vendors. Facilitates communication between departments and stakeholders to ensure a smooth onboarding process. Collects and verify onboarding documents for new hires and contract staff, ensuring accuracy and completeness. Enters new hire information into e-Verify to ensure compliance with employment eligibility verification requirements. Coordinates and take badge photos for new hires and ensure badges are properly issued before the start date. Maintains compliance with data privacy regulations by securely handling and storing onboarding documentation.
- Talent Acquisition Support (20%) Greets and assist candidates and visitors at the front desk, providing a positive and professional first impression of the organization. Manages candidate check-ins for interviews, ensuring a smooth and welcoming experience. Provide instructions or guidance as needed. Handles initial inquiries about job openings via phone, email, or in-person, providing information on the application process and answering basic questions. Communicates with candidates regarding career event details, such as time, location, and preparation requirements. Follow up to confirm attendance. Enhances the candidate experience by providing timely updates and feedback throughout the recruitment process.
