Position Summary
The Admissions Coordinator plays a crucial role in ensuring a seamless and supportive experience for patients entering care at The Remedy Mental Health. As one of the first points of contact for many patients, this position is responsible for managing the admissions process with professionalism, accuracy, and compassion. The Admissions Coordinator will work closely with patients, families, and healthcare providers to facilitate patient intake, insurance verification, and compliance with all necessary documentation while maintaining a strong focus on patient-centered service.
This role requires attention to detail, excellent communication skills, and a proactive approach to problem-solving to ensure patients receive the support they need while accessing mental health care.
Key Responsibilities
Patient Intake & Admissions Management
- Facilitate the patient admissions process, ensuring all personal, medical, and insurance information is collected and accurately recorded.
- Verify that all required documentation, consents, and intake forms are completed in accordance with company policies and healthcare regulations.
Patient Support & Customer Service
- Serve as a primary point of contact for patients, families, and referring providers throughout the admissions process.
- Provide compassionate, timely responses to inquiries regarding treatment options, services, and admissions procedures.
- Address patient concerns with professionalism and empathy, ensuring a smooth and reassuring transition into care.
Insurance Verification & Financial Coordination
- Verify patient insurance coverage and obtain any necessary approvals or authorizations for treatment.
- Collaborate with the insurance and billing departments to ensure transparency regarding costs and coverage for patients.
- Assist patients with understanding their financial responsibilities related to their care.
Data Management & Compliance
- Maintain accurate and up-to-date patient information in the electronic health record (EHR) system while ensuring compliance with HIPAA and data privacy regulations.
- Ensure all admission forms and documentation meet regulatory standards and company policies.
Administrative & Process Support
- Coordinate with clinical teams to ensure a seamless transition from intake to treatment.
- Assist with scheduling patient evaluations and initial appointments as part of the admissions process.
- Support the continuous improvement of admissions procedures to enhance efficiency and patient satisfaction.
Qualifications & Requirements
- High school diploma required; Associate’s or Bachelor’s degree in healthcare administration, business, or a related field preferred.
- Experience in medical admissions, healthcare administration, patient intake, or a related field preferred.
- Strong organizational and multitasking abilities to manage multiple patient admissions efficiently.
- Excellent written and verbal communication skills to interact effectively with patients, families, and healthcare providers.
- Proficiency in medical terminology, electronic health records (EHR) systems, and insurance verification processes.
- High attention to detail and ability to maintain confidentiality and compliance with healthcare regulations.
- A compassionate, patient-centered approach to delivering excellent service in a fast-paced healthcare environment.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
