Required Qualifications (as evidenced by an attached resume):
Bachelor’s Degree (foreign equivalent or higher). Experience working with sponsored research and/or grants administration. Grants management experience.

Preferred Qualifications:
Two (2) years of sponsored research and/or grants administration experience. Grants management experience in an academic setting. Experience working in a Higher Education institution or research-intensive organization. Experience working with web-based systems for electronic proposal submission and administration (Including but not limited to Grants. Gov, Assist/ERA Commons, Research. Gov/ Proposal Central/ NSPIRES).

Brief Description of Duties:
The Grants Manager (GM) will serve as a key member of the SSW’s research team and plays a crucial role in ensuring effective pre- and post-award grants management for Principal Investigators (PIs) in the School of Social Welfare. The Grants Manager will provide comprehensive administrative support to PIs in the development and management of their grant applications to external sponsors, focusing on large, complex proposals to federal sponsors. The GM will support the PIs throughout the proposal development and submission process. The GM will maintain a timeline for the proposal team to ensure accurate and timely submission, and provide consistent and comprehensive administrative support for submitting high quality research proposals. The GM will be responsible for monitoring post-award activities within the SSW related to our portfolio of grants and contracts, using knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. The GM will provide comprehensive support to PIs and is responsible for ensuring compliance with University, government, and private funding agency policies, resolving financial problems, preventing overdrafts, managing reconciliation of accounts, reviewing financial reports, and funding.

The successful incumbent will have excellent communication and interpersonal skills, exercising strong organizational skills with exceptional attention to detail. Essential for this role is the adeptness necessary to work both independently and as part of a team with a collaborative approach to problem solving, as well as the ability to effectively multi-task with a high degree of accuracy and organization in a fast-paced, deadline driven environment. The incumbent must have knowledge of grant proposal submission, award life-cycle, and pre- and post- award grant administration. The incumbent must be proficient with Microsoft Office, Google Suite, spreadsheets, databases, e-mail, Internet, PowerPoint, Outlook,

Duties:

Post-Award Support:


  • Grant Account Management: Develop and monitor a comprehensive dashboard of grant portfolios for departmental PIs. Proactively manage project expenses, identify trends, and recommend budget adjustments, award modifications, PI/institutional changes, and procurement to ensure compliance.
  • Subcontracts: Collaborate with PIs, research foundation, and relevant Stony Brook Medicine offices to prepare and process subcontracts, ensuring timely receipt of award documents, invoicing, and final account closeout.
  • Agency Reporting: Work with PIs, research foundation, and relevant Stony Brook Medicine offices on mid-award reports, projecting budgets, ensuring compliance, and preparing reports on grant-funded activity.
  • Closeout: Provide post-award closeout support, including cost-share and administrative matters.
    Internal Collaboration & Records Management: Liaise with central offices, collaborate with external departments, and ensure financial activities align with University and agency guidelines

Pre-Award Support:

  • Budget/Budget Justification Preparation and Proposal Development: Review and assist in the preparation of grant applications, contract proposals, and related documents, ensuring compliance with School and University policies.
  • Negotiation and Award Review Support: Guide and provide administrative support for PIs in reviewing and negotiating awards, serving as the point of contact for grant matters.
  • Monitoring Proposal Status: Actively monitor proposal status, coordinating with relevant offices to establish and revise accounts in a timely manner.
  • Other Pre-Award Support: Assist PIs in all aspects of pre-award grants management to ensure timeliness, accuracy, and compliance.
  • Verify all SSW proposal submissions for compliance with both sponsor and internal requirements; approve verified proposals in MyResearch; interface with faculty to resolve issues.
  • Identify appropriate funding opportunities, interpret and adhere to application guidelines.
  • Provide outreach to other university departments and schools and external partners as required for proposal submission, and monitoring proposal progress. Collect/edit biosketches, letters of support and other required materials.
  • Coordinate internal proposal package for timely approval routing. Work with investigators to submit completed proposals to the Office of Sponsored Programs for final review, approval and submission to external sponsors.
  • Provide training on internal processes.

Compile, analyze and summarize research data

  • Track school grant activity using Tableau or equivalent.
  • Coordinate with the Associate Dean for Research to prepare reports, spreadsheets, graphics, and correspondence as needed for internal and external sponsored-project reporting requirements. Perform informational searches, gather data and research materials as requested.
  • Conduct information mining and data extraction/analysis to support a broad range of strategic research development initiatives and resources, including (but not limited to) funding opportunities, emerging national initiatives, state/federal legislative priorities, etc.
  • Maintain a database of areas of expertise and awards for all faculty in the school.
  • Provides updates to the Dean and Associate Dean for Research regarding the status of grant and contract submissions.

Develop materials and procedures to streamline research proposals

  • Coordinate with the Associate Dean for Research to compile guidelines, best practices, boilerplate proposal material, and other reference materials to facilitate grant seeking and preparation.
  • Create SSW templates for use by investigators.
  • Organize and schedule SSW Research Advisory Committee.
  • Organize and manage SSW seed grant competitions
  • Work with Stony Brook IT and Associate Dean for Research to maintain SSW Research Website

Other duties or projects as assigned as appropriate to rank and departmental mission
