JOB DESCRIPTION Front Desk Receptionist
11p to 7am
Saturdays and Sundays only
POSITION SUMMARY:
Answer incoming calls to determines nature of business and directs callers to destination by performing the following duties. The front desk receptionist position greets visitors coming to the facility, operates the multi-line telephone system, interacts with the residents of the facility, and provides clerical support for the administrative staff. The receptionist creates an atmosphere of warmth, personal interest, and positive emphasis and is empathetic to needs of older adults.
DUTIES AND RESPONSIBILITIES:
1) Operates telephone system and routes calls to the appropriate individual or department and when necessary, takes messages for staff as well as residents.
2) Provides general information about facility services and admission criteria to walk-ins and telephone inquiries.
3) Ensures that all visitors adhere to the core principles of Covid-19 infection prevention and follows visitation guidelines established by the facility.
4) Greets guests, receives inquiries, and accepts deliveries.
5) Opens sorts and distributes incoming mail/packages to appropriate departments or resident mailboxes.
6) Assists all ALF residents with patio door access, correct appointment transportation pickup by notification, escorting to dining room during meals, notifying C. N. A’s if assistance is required via Walkie talkie and helps residents in and out of elevators as necessary.
7) Maintains and updates staff extension list and telephone numbers.
8) Maintains and distributes an updated current list of residents by name, resident number, telephone and room number.
9) Maintains visitor in and out of the building logs and reports suspicious visitors to management.
10) Checks in and provides visitor passes to all guest, contractors, or family members entering the facility.
11) Monitors surveillance cameras and doors ensuring residents that are not appropriate to leave do not exit the facility and silences the alarm when activated.
12) Maintains lobby area free from clutter.
13) Ensures that the driveway entrance is not obstructed by idled cars.
14) Handle emergency situations.
15) Performs a variety of clerical and special assignments for supervisor.
16) Handles all room service orders for residents and oversees the guest meal tickets process for dining room.
17) Handles and oversees the beauty salon schedule by scheduling, rescheduling or moving resident’s appointments as needed.
18) Assists new admissions and their family members with the move in process by providing luggage cart, collecting clothes and delivering items to the Laundry department for labeling.
19) Helps Management with all pre-employment applications for prospective employees and ensures delivery to appropriate department leaders for interviewing.
20) Assists the Activities department with all daily scheduled resident outing sign-up sheets by encouraging and promoting activities to the residents.
EDUCATION AND QUALIFICATIONS:
Possess a high degree of self-motivation, willing and able to work in a high paced, sometimes stressful environment. Have excellent public relations and communication skills.
- High School Graduate or GED equivalent, Associates in an accredited college or technical school preferred.
- Previous experience in areas of work involving public contact, such as customer service, and extensive telephone operations is desirable.
- Must possess excellent communications skills, both verbal and written.
- Ability to speak effectively before groups of employees, customers, residents or resident families.
- Typing skills required.
- Must be computer literate, including but not limited to, Windows, Word Perfect and Excel.
- Able to operate office equipment, including but not limited to, photocopier, postage meter, document shredder, laminator, and calculator.
