JOB SUMMARY
The Events Manager is responsible for leading the planning and implementation of all events and workshops, both in-person and online. In this highly collaborative position, the person will also manage the social media accounts and implement the event outreach plan. The Events Manager will work closely with the Program Team to further and strengthen the mission of the organization.
We seek someone who is extremely detail oriented and has hands-on experience with event planning, promotion, and stage managing for live performances. This role requires strong project & time management, problem solving, and interpersonal skills. This person can be productive independently and collaborate well with the Residency’s small team. They center youth and social justice, while being an advocate for hip-hop culture. This person is a lifelong learner who isn’t afraid of not knowing, and has the drive to learn more.
KEY RESPONSIBILITIES
Event & Workshop Management for all events :
Create comprehensive event plans, track tasks, & ensure events are delivered on time & on budgetSecure venues, scheduling, outreach, tech & staffing needsManage communications with participants, partners, teaching artists, & attendeesStage Manager (day-of event) : Act as point of contact for venue, participants, teaching artists, staff & volunteersTeach / Mentor youth participants as neededAdministrative :
Manage a 12-month Events Calendar; assess organization’s capacityCoordinate newsletter & website info with the Administrative CoordinatorManage graphics / asset information for each eventUpdate partner databaseUpdate event communication templatesDebrief events & refine systemsBuild processes for replication & scaling of event activitiesTrack invoices for rentalsManage tech needs & equipment inventoryManage contractors hired for the eventsManage events budgets, including expense trackingProgram & Youth Support :
Coordinate events & workshops with the Program TeamDevelop & implement curriculum for stage management with the Program TeamTeach / mentor youth participants (as appropriate)Support all youth run events (ex. Satellite Shows, Summer Series, WTHL)Support the Summer Intensive Program Final Showcase & workshopsCoordinate with community partners for events in collaboration with Program TeamSupport event engagements that require travelSocial Media :
Social Media management for all events, programs, projectsTrack & implement regular updates, outreach, & communicationDevelop a social media plan with the TeamAnalyze & adjust social media planCreate & manage graphics / assetsUtilize brand guide to implement visual style and voiceOther Duties (as needed) :
Assist with Development Team eventsRepresent The Residency at public tabling & outreach eventsBASIC QUALIFICATIONS
3-5 years experience in an events management role, with demonstrated ability to deliver events on time & on budget3-5 years experience in stage managing live performances & eventsExperience developing new & existing event programs from the ground upDigital marketing experience, including email campaigns & social mediaComfort with graphics creation using Canva or other programCreative thinker seeking to always be improving the event experience for allExperience working with young people (& be willing to take trainings)Proficiency with industry tools such as Google Suite, Apple, Zoom, etcPREFERRED QUALIFICATIONS
Experience working with sound equipmentFamiliarity with lighting techStrong ties to the community being served & connections to opportunities outside of performanceExperience with group facilitationConnection to local music & performing arts community (specifically hip-hop)Multilingual skills (especially Spanish)GENERAL REQUIREMENTS
