JOB SUMMARY

The Events Manager is responsible for leading the planning and implementation of all events and workshops, both in-person and online. In this highly collaborative position, the person will also manage the social media accounts and implement the event outreach plan. The Events Manager will work closely with the Program Team to further and strengthen the mission of the organization.

We seek someone who is extremely detail oriented and has hands-on experience with event planning, promotion, and stage managing for live performances. This role requires strong project & time management, problem solving, and interpersonal skills. This person can be productive independently and collaborate well with the Residency’s small team. They center youth and social justice, while being an advocate for hip-hop culture. This person is a lifelong learner who isn’t afraid of not knowing, and has the drive to learn more.

KEY RESPONSIBILITIES

Event & Workshop Management for all events :

  • Create comprehensive event plans, track tasks, & ensure events are delivered on time & on budget
  • Secure venues, scheduling, outreach, tech & staffing needs
  • Manage communications with participants, partners, teaching artists, & attendees
  • Stage Manager (day-of event) : Act as point of contact for venue, participants, teaching artists, staff & volunteers
  • Teach / Mentor youth participants as needed
  • Administrative :

  • Manage a 12-month Events Calendar; assess organization’s capacity
  • Coordinate newsletter & website info with the Administrative Coordinator
  • Manage graphics / asset information for each event
  • Update partner database
  • Update event communication templates
  • Debrief events & refine systems
  • Build processes for replication & scaling of event activities
  • Track invoices for rentals
  • Manage tech needs & equipment inventory
  • Manage contractors hired for the events
  • Manage events budgets, including expense tracking
  • Program & Youth Support :

  • Coordinate events & workshops with the Program Team
  • Develop & implement curriculum for stage management with the Program Team
  • Teach / mentor youth participants (as appropriate)
  • Support all youth run events (ex. Satellite Shows, Summer Series, WTHL)
  • Support the Summer Intensive Program Final Showcase & workshops
  • Coordinate with community partners for events in collaboration with Program Team
  • Support event engagements that require travel
  • Social Media :

  • Social Media management for all events, programs, projects
  • Track & implement regular updates, outreach, & communication
  • Develop a social media plan with the Team
  • Analyze & adjust social media plan
  • Create & manage graphics / assets
  • Utilize brand guide to implement visual style and voice
  • Other Duties (as needed) :

  • Assist with Development Team events
  • Represent The Residency at public tabling & outreach events
  • BASIC QUALIFICATIONS

  • 3-5 years experience in an events management role, with demonstrated ability to deliver events on time & on budget
  • 3-5 years experience in stage managing live performances & events
  • Experience developing new & existing event programs from the ground up
  • Digital marketing experience, including email campaigns & social media
  • Comfort with graphics creation using Canva or other program
  • Creative thinker seeking to always be improving the event experience for all
  • Experience working with young people (& be willing to take trainings)
  • Proficiency with industry tools such as Google Suite, Apple, Zoom, etc
  • PREFERRED QUALIFICATIONS

  • Experience working with sound equipment
  • Familiarity with lighting tech
  • Strong ties to the community being served & connections to opportunities outside of performance
  • Experience with group facilitation
  • Connection to local music & performing arts community (specifically hip-hop)
  • Multilingual skills (especially Spanish)
  • GENERAL REQUIREMENTS

  • Excellent communication skills, both verbal & written; comfortable speaking in public / group settings
  • Able to prioritize & handle multiple assignments while maintaining commitment to deadlines in a fast paced environment
  • High standards of organization, including attention to detail, reliability, professionalism, & personable attitude
  • Able to work independently & collaboratively with a multigenerational team
  • Be willing to be flexible in tasks & assist the small team
  • Positive, proactive & able to exercise great judgment
  • Competent in hip-hop cultural (or be able to take trainings)
  • Interest in supporting artist communities, practices, & organizations. Belief in the power of arts to transform individuals & communities
  • Demonstrate a willingness to approach the work through a racial & intersectional justice analysis & with a commitment to social justice
  • Strong critical thinking skills; ability to find creative solutions, & adaptability while working with diverse artists, neighbors, partners & audiences
  • Capability to work remotely in the Pacific Northwest; in-person team meetings, programs & events will occur regularly
  • Able to lift 30-50 pounds
  • Available evenings & weekends (for scheduled events)
