Overview
We are seeking a friendly and organized Front Desk Receptionist to be the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication skills and a professional demeanor, ensuring a welcoming atmosphere and being responsible for the first impression the community has of our facility. This role is crucial in managing the front desk operations, providing exceptional customer support, and assisting with various administrative tasks.
Duties
- Greet and welcome visitors in a professional manner, ensuring they feel comfortable and attended to.
- Assess the guests and visitor's needs, prompting them to sign in to the guestbook and direct them as appropriate to the department, person or room they are seeking.
- Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
- Schedule appointments and manage calendars, logs, phones, laptops and equipment.
- Perform clerical duties such as filing, data entry, and maintaining office supplies inventory.
- Under the direction of the Business Office Manager, assist with filing, returning phone calls, copying and other office tasks.
- Assist with customer inquiries, providing information and support as needed.
- Maintain a clean and organized front desk area to create a positive first impression.
- Support all team members with administrative tasks as required, acting as a personal assistant when necessary.
- Handles special administrative/department projects.
- Maintain the front desk in a neat, clean and orderly manner. Floors around the reception area and in the lobby will be swept as needed to eliminate debris that accumulates throughout the day.
- Maintain the front lobby area furniture, literature and trash that may accumulate.
- Position is Monday through Friday, 8 hours/day, 7am-4pm.
Experience
- Previous experience in a receptionist or front desk role is preferred.
- Experience in restoration or construction industry a plus.
- Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential for effective calendar management.
- Proficient in Microsoft Office and able to learn other computing software as needed. Must also be familiar with other office equipment/software: Proven PSA, iPad, copier, fax, and telephone.
- Excellent customer support skills with the ability to handle inquiries professionally and courteously.
- Strong organizational skills with attention to detail to manage multiple tasks effectively.
- Positive, can-do attitude.
- Excellent communication skills; able to speak, read and understand English.
- Must be able to lift a minimum of 20 pounds, climb small ladders, use step stools, reach for objects, stand and walk for periods of time greater than 20 minutes.
- High school diploma required, some college preferred.
