The Sales Coordinator at the River House at Odette’s is responsible for increasing the corporate, social, and wedding events revenue while establishing trust and rapport with clients to create successful events. Sales Coordinators create the Banquet Event Order; thus, creating the connection between the clients’ needs and the various department management.
Duties/Responsibilities:
· Assist the Executive Director of Sales and Sales Managers to meet or exceed sales goals and benchmarks by increasing revenue related to new events, menus and bookings.
· Ensure quick and efficient responses to client issues, comments and problems to ensure a quality experience and enhance future sales prospects.
· Act as a liaison between client and the department management.
· Ensure proper reporting of event-related agenda items, revenue and menus and communicate to the executive team.
· Ensure that guests approve and sign all Banquet Event Orders and payment is handled in the required timelines.
· Prepare banquet event orders to effectively communicate client needs and requirements with the various department heads.
· Meet with clients and conduct site tours when needed.
· Build group room blocks in hotel Property Management System.
· Coordinate reservations, amenities, and proposals for VIP clients when needed.
· Attend all applicable daily, weekly and/or monthly department or hotel meetings to ensure proper communication and planning. Ensure timely notification of client specifications with other departments.
· Maintain all sales files.
· Other duties as assigned.
The ideal candidate will possess the following Knowledge, Skills and Abilities
· Technical Skills: We require 2-4 years of advanced experience with providing world-class guest service, hotel and event sales experience, and meeting or exceeding all sales goals and benchmarks. Must possess strong and proven written and verbal communication and guest service skills.
· Customer Service and Professionalism: Proven experienceserving as a role model and setting the standard for all staff to maintain high-quality and consistent customer service.
· Problem Solving, Quality Control, and Priority Assessment: Must evaluate current practices and processes; immediately recognize potential areas of conflict; and implement ways to improve current business methods, quality of products and services provided.
· Sales Techniques and Customer Influence: Understanding of room types, products, amenities, guest needs. Meets with clients and support sales team as necessary. Must possess superior experience and remain current in sales methods. Must meet or exceed room occupancy goals.
· Communication: Commitment to details both verbally and non-verbally and ability to encourage cooperative and consistent levels of communication with the kitchen staff, front-end staff and management. Must understand instructions, read written company information and communicate with little or no additional direction.
· Interpersonal Relationships: Ability to adapt to different personalities of guests, staff and outside vendors without losing focus. Must possess high professional ethics and avoid extreme familiarity or conflicts with others.
· Conflict Management: Capacity to recognize problems when they arise and be able to resolve them appropriately by using good judgement, tact, and initiative according to company policy and procedure. Requires unbiased communication skills to handle all types of conflicts that will occur at all levels of supervision and the ability to negotiate effectively.
· Perform General Physical Activities: Ability to perform physical activities in a variety of environmental conditions that require moderate to maximum strength including climbing, lifting, balancing, walking, handling materials.
· Flexibility: Must be available to work overtime when needed, assist with the workload of others, and perform other duties as assigned.
