The Health Office Assistant plays a crucial role in supporting the entire community. The Health Office Assistant will report directly into the Head Nurse and support the health office by managing daily operations, maintaining student health records, and assisting the school nurse or health coordinator. This position requires excellent organizational skills, attention to detail, and the ability to handle confidential health-related information. Key Responsibilities:
- Administrative Support:
- Answer phone calls, emails, and inquiries related to student health.
- Maintain and update student health records, including immunization records and health histories.
- Prepare and maintain health office files and reports.
- Ensure proper documentation and handling of any medication administered to students.
- Health Services Assistance:
- Assist the school nurse in providing first aid and emergency care to students.
- Monitor and assist students with minor illnesses or injuries.
- Provide emotional support to students in distress.
- Inventory Management:
- Maintain an inventory of medical supplies, including bandages, medications, and first-aid materials.
- Order and restock supplies as needed.
- Confidentiality and Compliance:
- Ensure all student health information is kept confidential and complies with privacy regulations (e.g., HIPAA, FERPA).
- Ensure the school follows all health and safety regulations.
- Collaboration and Communication:
- Ability to take direction from the Head Nurse
- Demonstrated commitment to continuous learning and growth

- Other Duties as Assigned:
- Assist with organizing health-related events, workshops, or educational campaigns.
- Perform other administrative tasks as needed to support the health office and school community.
- High school diploma or equivalent; additional certification in medical office administration or first aid/CPR is a plus.
- Previous experience in a healthcare or school environment is preferred.
- Knowledge of medical terminology, basic first aid, and health office procedures is an asset.
- Strong organizational and time-management skills.
- Excellent communication skills, both verbal and written.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in office software (Word, Excel, etc.) and health office management systems
- First Aid and CPR certification (or willingness to obtain).
- Ability to lift and carry light to moderate weight (up to 25 lbs).
- Ability to stand or sit for extended periods.
- Ability to assist in the movement of students with mobility challenges when necessary.
- Work is primarily performed in a school environment.
- May require interaction with students who have various health conditions or needs.
- Occasional exposure to health-related risks (e.g., illness, bodily fluids).
