Position Overview: We are currently looking for a Real Estate Transaction Coordinator to join our dedicated team. This individual will be a pivotal part of our operations, overseeing and streamlining the entire transaction process from contract to closing. Key Responsibilities:
Transaction Management:
- Oversee all administrative tasks related to homebuyer and seller transactions, from contract initiation through to closing.
- Monitor and track transaction progress, ensuring that all required documentation is submitted to the office broker for file compliance.
- Review and verify purchase agreements, sale contracts, and other real estate documents for accuracy, ensuring correct signatures and dates before sending to relevant parties.
- Coordinate inspections, appraisals, and necessary repairs, ensuring timely scheduling and reporting on progress.
- Provide weekly updates to customers, lenders, agents, ensuring all parties are informed throughout the transaction process.
- Monitor and track the status of property inspections, appraisals, and repairs, ensuring deadlines are met and progress is reported.
- Keep transaction files and databases up to date, including post-closing details
- Preparing new listings into MLS, adding relevant information and listing descriptions
Customer & Client Support:
- Collaborate and communicate with agents, customers, title/escrow companies, lenders, appraisers, contractors, and other parties involved to ensure smooth and efficient transactions and facilitate timely closings.
- Notify agents of any potential issues or obstacles and work collaboratively to resolve them promptly.
- Support real estate agents, customers, lenders, and title companies in completing paperwork and fulfilling all contractual obligations.
- Exhibit a positive attitude in all customer interactions, building loyalty through exceptional service.
- Deliver outstanding service and maintain positive relationships with clients and team members.
Organizational Efficiency:
- Update and maintain customer information within the CRM system, ensuring all data is current, including post-closing mailing addresses.
- Maintain organized and efficient files while supporting overall office organization to streamline team logistics.
- Assist with special projects as directed by team leaders, ensuring completion in alignment with team objectives.
Qualifications:
- 1-2 years of experience in administrative support or real estate-related roles (preferred).
- Exceptional organizational skills with the ability to effectively multitask in a fast-paced, dynamic environment.
- Outstanding written and verbal communication skills, with a strong ability to communicate clearly and professionally.
- Self-motivated and collaborative, with the ability to work both independently and as part of a team.
- Proactive, solution-oriented mindset, coupled with a strong work ethic and commitment to achieving goals.
- Detail-oriented, with a keen focus on accuracy and precision—checklists are your go-to tool!
- Proficient in spreadsheet management and CRM/database systems (experience preferred).
- “CAN-DO” attitude, demonstrating a willingness to contribute in all aspects of the team’s success.
- Service-driven, with a strong ability to build lasting, positive relationships with clients and colleagues.
- A real estate license is a plus, but not required.
- High school diploma or GED required.
