Job Summary

To ensure the continued success of the Round Pantry, we are seeking an Intake & Volunteer Coordinator to lead the critical intake process on Service Insights on MealConnect (SIMC) and recruit additional volunteers to strengthen the team. This year-long contract position will be responsible for ensuring that all intake shifts are fully staffed with volunteers. This position will also train all new intake volunteers and recruit additional volunteers as needed, with a focus on sustaining volunteer support for years to come. The Intake & Volunteer Coordinator plays a critical role in helping the Round Pantry maintain clean and accurate records, that will support their programming. The main focus of this role is support with capacity building, so that the Round Pantry can consistently rely on a solid volunteer workforce to complete the intake process on a regular basis. This position offers the chance to make a tangible difference in the lives of hundreds of families in the community. You’ll work closely with a passionate team of volunteers dedicated to ensuring that every neighbor has access to nutritious food.

Essential Responsibilities

Manage Distribution Check-In

  • Oversee the intake process during twice-monthly drive-through distribution events.
  • Greet and welcome new and returning program participants while working alongside check-in volunteers.
  • Use the Service Insights on MealConnect (SIMC) system to register households, update household information, and ensure data accuracy. Training will be provided.
  • Ensure a smooth intake process by supporting volunteers and addressing program and enrollment questions.
  • Provide excellent customer service to neighbors, volunteers, and visitors, utilizing de-escalation and conflict resolution techniques when needed.
  • Fill volunteer gaps in coverage as necessary.

Volunteer Recruitment & Training

  • Recruit new volunteers to join the pantry intake team.
  • Look to identify lead volunteers who can continue to support the intake process over time.
  • Coordinate and lead training sessions to prepare volunteers for their roles.
  • Enhance recruitment efforts to build and maintain a sustainable pipeline of volunteer support.
  • Promote collaboration and communication among volunteers to ensure successful program implementation and ongoing support.

Support Efficient Operations

  • Collaborate with Community Food Share and The Round Pantry team to streamline intake processes and maintain smooth operations.
  • Serve as the primary point of contact for intake-related questions during distributions.
  • Ensure participant data is kept confidential and maintain accurate records in the SIMC database.

Education and Experience

  • Strong customer service, communication, and organizational skills. Demonstrated written and interpersonal skills.
  • Front desk or customer service experience strongly preferred.
  • Commitment to serving the community and working with a diverse population.

Preferred but not required:

  • Bilingual in English and Spanish preferred, with ability to speak, read, write, and translate fluently.
  • Volunteer coordination, event management, or community outreach experience preferred.
  • Previous non-profit experience is a plus.

  • Ability to work outdoors in varying weather conditions and perform light physical tasks (e.g., walking car lines).

Typical Work Schedule

  • Distribution Days: 11 hours per month (on-site) to manage check-in during twice-monthly pantry events (2nd and 4th Thursdays, from 1:00-6:30 PM).
  • Volunteer Coordination: 4 hours per month (remote/flexible) for recruitment and training.

Physical Demands and Work Environment

This position primarily requires working outdoors in varying weather conditions and outdoor temperatures during distribution events and performing light physical tasks, such as walking car lines or assisting with check-in. About The Round Pantry

The Round Pantry is one of the largest drive-through food distribution sites in Longmont, serving approximately 475 households at each distribution. Operating later in the day than other local pantries, The Round Pantry plays a crucial role in reaching households that can only attend after work. The pantry’s operations are managed by a dedicated team of volunteers, with vital support from Community Food Share (CFS). Data collection through the SIMC (Service Insights on Meal Connect) intake platform plays a key role in the Round Pantry understanding its impact and sustaining current and future support for its programming.
