Education and Work Experience:
Education: High school diploma or equivalent required; Associate's degree preferred.
Work/Professional Experience: 1-2 years of experience in data entry or database management; Proficiency with database systems and Microsoft Office Suite.
Scope of Position:
As a Data Management Specialist, you will maintain accurate and comprehensive client data essential for tracking services, analyzing trends, and securing funding for homeless assistance programs. This involves collecting, entering, and managing data within our HMIS/WELLSKY systems while ensuring data quality and confidentiality.
- Technical proficiency with Microsoft Office Suite (Word, Excel, Outlook required; PowerPoint helpful) and database systems including HMIS/WELLSKY.
- Ability to learn new software with basic training and troubleshoot common software issues.
- Strong critical thinking skills with excellent attention to detail and self-auditing capabilities.
- Ability to work efficiently in a high-volume environment with periods of repetition.
- Professional communication skills and respectful interaction with teammates and program participants.
Licenses and Certifications: Driver’s License – Preferred
Essential Duties and Responsibilities:
- Manage all aspects of data within HMIS and Wellsky systems, including entry, verification, maintenance, and protection of confidential information with high attention to detail and accuracy.
- Generate regular reports for program evaluation and funding requirements while evaluating and improving data collection processes from an end-user perspective to provide guidance on operational trends.
- Collaborate with case managers and service providers to ensure timely data collection and assist with training staff on proper data collection procedures.
- Prepare correspondence, process financial transactions (including expenses, income, cash, and gift cards), and handle in-kind donations with proper documentation and security protocols.
- Conduct intake interviews with people experiencing homelessness as needed and support special projects related to homeless services data.
- 1-2 years of experience in data entry or database management.
- Experience working with vulnerable populations preferred.
- Strong organizational skills and attention to detail.
- Excellent interpersonal communication skills with ability to work respectfully with diverse populations.
- Sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis.
- Grasp, push, pull objects such as files, file cabinets drawers, and reach overhead.
- Operate telephone. Operate a desktop or laptop computer.
- Lift and carry up to 35 lbs.
- Works on many projects at once in a semi-open office environment with interruptions and noises from voices, telephones, printers.
