Overview
The Officer Manager will serve in a crucial support role to the Corps Officers and serve as a leader in the Cleveland West Park Corps. They will be integral in carrying out the mission of The Salvation Army by providing administrative support, oversight of the facility, management of the office, coordination of staff and projects, facilitating communication, implementing policy, and supporting the programs of the West Park Corps.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES Administration
• Process, transmit, and file payroll data under the supervision of the Corps Officer• Maintain and process all Human Resource records, forms, and documents under the supervision of the Corps Officer• Assist with regular financial processes (counting, deposits, reports, etc.)• Conduct performance evaluations for administration department reports, in collaboration with the Corps Officers. • Assist with onboarding training for new staff. Monitor and ensure refresher training is completed for staff/volunteers according to the established guidelines.• Manage personnel schedules including staff PTO, training, celebrations, and events.• Provide oversight and coordinate with all entities providing non-paid workers and volunteers including Court Community Service, AARP, etc. and provide scheduling, training and assist with recruitment of volunteers.• Coordinate pick-up, recordkeeping, and distribution of donated goods.• Responsible for the effective functioning of the office by organizing office, facility operations and procedures; preparing payroll; submitting Statistical reports; controlling correspondence; managing facility calendar; designing facility systems; reviewing supply requisitions; assigning and monitoring clerical functions.
Office Management
• Assist the Corps Officers with various communications relative to the workings of the corps business including collecting/distributing mail, handling outgoing mail, answering phone calls and emails, scheduling receptionist coverage, submission of statistical reports, etc.• Manage and maintain all office files, office material, office equipment, office supplies.• In collaboration with the Corps Officers, serve as a primary point of contact for operational contacts, including creating and managing the facility repairs/upkeep schedules.• Perform clerical duties such as correspondence, filing, copying, mailing, etc.• Ensure required licenses are kept current..• Manage corps calendar to ensure it is up-to-date including corps events, community events, social service activities, facility projects, etc. • Arrange for procurement of needed supplies for the operation of the corps.
Program/Event Support
• Collaborate closely with the officers and department managers to assess and forecast program needs, and resolve complex program/workplace situations.• Provide coverage for pantry intake sessions.• Provide direct food distribution as needed.• Assist with regular program activities as needed including feeding, pantry, Seasonal Christmas efforts, outreach events, etc.• Assist with creation/translation of program promotional materials.• Support Corps Officers with participation in community collaboration efforts as needed.
OTHER DUTIES AND RESPONSIBILITIES
• Attend and contribute to Department Head and General Staff Meetings.• Responsible for sharing all matters of mutual concern relating to the total corps program and staff to the Corps Officer.• Involvement in the total corps program with willingness to help in all areas as need.• Perform other duties as assigned by the by the Corps Officers.
Qualifications
MINIMUM EDUCATION and/or EXPERIENCE
• Bachelor’s degree Preferred but not required• Previous work/experience in management, clerical, or customer service a plus
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISRATIONS
• Problem-solving thinker who is detailed oriented. • Demonstrated command of the English language; having computer and typing skills with high degree of accuracy. • Fluency in Arabic and/or Spanish is strongly preferred.• Proficient knowledge of all Microsoft Office Suite programs (Word, power Point, Excel, and Publisher)• Maintains a customer-friendly demeanor, with the ability to communicate and interact well when working with all internal and external contacts.• Ability to work independently. Must be self-starter. Must have ability to maintain confidentiality. • Strong capacity to use sound judgement working in an environment with multiple changing work priorities, and strict unalterable deadlines. • Must possess a current, valid Driver’s License, with ability to operate fleet vehicles per policy.
SUPERVISORY RESPONSIBILITIES:
- Community Services worker and other non-paid worker
- Housekeeping, maintenance, with support to facility drivers
