Summary/Primary Purpose: To answer incoming phone calls, greet incoming clients, donors and assist Social Service Department in determining eligibility and setting appointments for clients with case workers. To open mail, send in invoices, make deposits
Essential Duties and Responsibilities:
- Greet all incoming clients/visitors in a friendly professional manner.
- Answer phone calls in a pleasant, courteous manner.
- Responsible for directing assistance needed calls and walk-in clients to the appropriate Family Service Programs and/or outside agencies to meet their needs.
- Perform general administrative clerical duties to include but not limited to photocopying, scanning, filing, office supply management for supply orders, etc.
- Provide paperwork and information about Pathway of Hope to incoming clients seeking assistance.
- Assist office staff with mailings/projects.
- Assist with maintaining records/ tracking information of in office programs such as food pantry, general assistances, and other special projects as assigned.
- Determines preliminary eligibility of clients for internal programs and services, be able to competently fill out documents completely and accurately.
- Open mail with officers
- Send in invoices
- Make deposits to the bank or through the scanner
- Manage office supplies
- Assist with seasonal activities.
- All other duties as assigned.
Education and/or Experience: High School Diploma/GED. Some secondary education preferred. Minimum of 1 year of related experience in reception, telephone work, or data processing preferred. An equivalent combination of education and experience will be considered.

- Ability to work with people of varying backgrounds and cultures with patience and respect.
- Ability to establish priorities, work independently and proceed with objectives with little supervision.
- Intermediate skills in Microsoft software to include Word, Excel, PowerPoint, and Access. As well as the ability to access payroll, timekeeping, and personal data via a web-based system.
- Administrative skills include utilization of standard office equipment, data entry, 10-key, attention to details and filing.
- Good communication skills both written and spoken, and ability to maintain effective working relationships.
- Demonstrated ability to handle confidential matters.
