Courteously answers the telephone and directs calls to the appropriate destination; records accurate and complete messages when necessary; receives and completes receipts for deliveries and donations when applicable; greets and announces visitors and clients; provides general information about The Salvation Army’s operations and services; performs routine clerical work such as typing and filing. Provides social service assistance to eligible clients in the following areas; food, lodging, and financial aid; interviews clients to determine need and eligibility to receive services; completes accurate HMIS information intake forms and enters them in the database; prepares and retains accurate and complete clients assistance records; refers clients to community partners/agencies and maintains effective working relationships with the same; ensure compliance with program policies and procedures.
Key responsibilities:
General Receptionist Work (40%)
Receives, greets, and announces visitors courteously and tactfully; assists callers and visitors by answering questions and providing instructions and referrals; screens sales representatives soliciting to The Salvation Army. Notifies proper individuals when visitors or clients have arrived; ensures that visitors and clients have signed in. Answers telephone courteously and tactfully; assists clients by providing accurate and complete information regarding the Social Service Program operations and services. Answers the telephone and transfers calls to the appropriate destination; responds to callers’ questions and provides accurate information.Records accurate and complete messages; ensures the timely and accurate distribution of letters through telephone and email. Receives and distributes mail; ensures all mail reaches the appropriate destination; assists with preparing bulk mail when applicable. Receives donations and prepares receipts for financial contributions, packages, miscellaneous donated items, express mail, and any other delivery items to the lobby; notifies or delivers items to the proper individuals.
Case Work: (40%)
Greets and interviews clients requesting assistance to determine client’s eligibility for service based on program guidelines and restrictions; completes and enters HMIS intake information; records clients’ disposition and other pertinent information such as income, expenses, family and work history; assists clients in completing applications for assistance; photocopies social security cards, picture identification cards, payroll statements, utility bills, and any other necessary back-up for services. Receives, responds to, and refers clients requesting social service assistance unavailable through The Salvation Army, such as help with prescriptions, eyeglasses, transportation, etc.; creates and maintains networking data for partner agencies providing community services. Refers clients to our emergency shelter for temporary housing or directs alternatives for housing not offered by The Salvation Army, such as family units. Refers to clients needing transportation services through bus-line information or contacts family members, friends, or churches for assistance. Processes rent and utility financial assistance for eligible clients; contacts utility organizations and landlords for pledges and forwards the completed documentation for check generation and approval to the Commanding Officers and the bookkeeping department. Serves as liaison to other community agencies to obtain/maintain/coordinate assistance on a client’s behalf; builds and maintains professional working relationships with community partners.
Maintains Client Files and Statistics: (10%)
Prepares and files client records promptly, ensuring all information is accurate and current; obtains clients’ signatures as needed; reviews and tracks all client records to determine if the client is active or inactive; maintains confidentiality of client information.Prepares and maintains statistical records on all services provided; completes and prepares monthly statistical reports; promptly ensures accuracy and completeness; offers statistical information for monthly data entry.Other Responsibilities: (10%)Types and files routine correspondence, documents, lists, reports, etc., on behalf of the Corps Officer. May serve as coordinator for a specific program such as senior citizens or food programs; plan and coordinate program arrangements; set up program meeting area; ensure program clients are served effectively. Performs related work for special and seasonal projects. Performs other related work as required.
What we are looking for in you:
Associate degree from an accredited college or university in Social Work, Behavioral Science, or a related field, and two years’ experience in office administration.orany equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Current and Valid Driver’s License
Physical Requirements and Working Conditions:
Work requires the ability to lift and carry and/or push/pull light (less than 25 lbs.) materials, supplies, and equipment. Moderate mobility: duties are usually performed by sitting, standing, walking, and primarily sitting.
Working Conditions:Work is performed in a typical office environment where there are little to no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like; some face-to-face contact with people experiencing homelessness or less fortunate may present health and safety issues, or combative situations.
