Position Type: Full-Time, Non-Exempt
Pay Range: $24.43 - $27.48/hour
About this opportunity:
Ensures that the operations of the Human Resources department are in compliance with the policies and protocols of The Salvation Army, and State and Federal laws. Works closely with all department directors to ensure policies and best practices are being followed throughout the hiring, onboarding, disciplinary, and termination processes. Prepares and processes payroll data for all personnel within the Corps.
Key responsibilities:
Prepares, verifies, and submits all required paperwork for new hires, terminations, position changes, new position requisitions, and transfers.
Oversees the recruiting process, including job postings, screening applicants for minimum qualifications, conducting interviews, processing background checks, and requesting final approval from DHQ.
Plans and develops orientation programs in concert with program supervisor and the Corps leadership with emphasis on the uniqueness of the specific program to which an employee will be assigned and the employees role as part of the program and the overall organization. Ensure new employees are trained in Ceridian and all employees utilize Ceridian appropriately. Provides keys, fobs, name tags, and business cards as appropriate.
Witness disciplinary procedures and facilitate meetings when necessary. Ensure terminations of employment are fair, consistent, and warranted. Ensure proper documentation is provided and advise managers on appropriate documentation. Process termination paperwork for final DHQ approval.
Conduct manager trainings as necessary to ensure managers are following proper procedures pertaining to, but not limited to: hiring practices, evaluations, reprimands, employee relations, legal issues including harassment and drugs in the work place.
Ensures employee performance tools are being properly utilized. Collects, reviews, and processes annual employee performance reviews and 90-day reviews. Ensure evaluations are reviewed with employees, signed, and forward to DHQ. Provide guidance when 90-day-orientation period needs to be extended or Performance lmprovement Plans must be implemented.
Maintains thorough personnel files for all employees.
Enters all payroll data into Ceridian for biweekly payroll, including overtime, PTO, and holidays. Verifies that all employees are paid on schedule, whether by automatic deposit, check, or pay card. Prepares necessary payroll information for the Bookkeeper when manual checks must be generated. Prepares data for the bookkeeper to accurately and timely pay vendors for which employee payroll deductions have been made. Ensures employees review and authorize their time in Ceridian before payroll is submitted. Follow up with employees and their supervisors who do not authorize their time.
Tracks employee PTO and processes FMLA requests. Tracks and communicates holidays and office closings.
Processes employee related insurance matters: benefits, accident and liability claims, workers compensation, auto, property, and additional items as needed.
Respond quickly and appropriately to OSHA and/or EEOC complaints.
Prepares, types, and processes correspondence, check requests, audit sheets, forms, invoices, legal documents, notices, bulletins, manuals, etc.: ensures the accuracy, completeness, and timeliness of the same
Prepares and maintains office records, reports, databases, journals, books, logs, lists, etc. in an accurate, complete, and timely manner; updates, posts and indexes information and inputs data to maintain office records
What we are looking for in you:
Bachelor's degree from an accredited college or university in Business Administration, Human Resources, or related field AND
five years of administrative experience OR
any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
Valid State Driver’s License
Physical Requirements and Working Conditions:
Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs).
Work is usually performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like
