What are the responsibilities and job description for the Administrative Assistant (GENERAL) position at The Salvation Army?
We are seeking an experienced Administrative Assistant to join our team. The ideal candidate will have experience with providing clerical, development, and program support.
Duties:
General Office:
- General clerical duties include copying, faxing, mailing, and emailing. This will also include some maintenance of electronic and hard copy filing. Handle requests for information and data.
- Maintain office efficiency by ensuring office equipment is in working order, organize reception area, office supply closet, and copier area.
- Order supplies when needed and put in work orders for office machines as needed.
- Communicate messages to and from Area Coordinators to individuals/volunteers as needed.
- Maintain administrative files per Salvation Army records manual and retention schedules.
- Compile and enter all monthly statistic reports for CKAS departments and monitor accuracy.
- Issue and receive keys from staff upon arrival and departure of employment, as well as day to day for company vehicles.
- Employee driving privileges approvals and parking passes.
- Prepare agendas and schedules for meetings. Record, compile, and transcribe meeting minutes when necessary.
Development:
- Design materials for the promotion of any event, program, or as requested.
- Provide CRD staff with statistical reports when requested.
- Receive and direct Development department visitors, guests, and donors. Process applications and statistical information in a timely manner.
- Oversee production of Thank-you letters for all monetary donations and gift-in-kind donations. Responsible for running quarterly reports and sending statements to automatic donors. Responsible for periodically refreshing the content of thank you letter. Ensure the accuracy of thank you letters.
- Receive telephone requests for in-kind donation pick-ups, schedule pick-ups after consulting with Area Coordinators, record donations, and send thank you letters
- Any Development related duty as requested.
Additional Services:
- Assist with the various events that take place throughout the year.
- Organize and track the schedule for room and vehicle usage/reservations.
- Cover front desk (Wednesday, Thursday and Friday) and cover daily lunch.
- Assist with planning and setting up details for on-site meetings as needed, update office calendars on outlook and bulletin boards.
- Annual fleet vehicle inventory, vehicle registration, and insurance accuracy.
Experience:
- High school diploma or GED required
- 2 years’ experience in an Administrative Assistant position preferred
- Valid Driver’s license
- Proficient in Microsoft Office
- Exceptional communication, organization, and interpersonal skills.
- Good attitude, punctual, reliable
