The Assistant Program Manager supports the planning, implementation, and management of social service programs to ensure they effectively meet community needs. Works closely with the Program Manager and supervises daily operations, coordinates staff activities, and ensures the program complies with relevant regulations and policies. Assists in developing strategies to improve service delivery, assists with budgeting and reporting, and contributes to staff training and development. Monitors program outcomes, assesses client satisfaction, and provides support in addressing any issues or challenges that arise in the course of program execution.

Education and Experience:
Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Ability to sit for extended periods, use a computer, and attend meetings.
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.).
Office based with occasional travel within the community to visit clients or partner organizations.

Key Responsibilities
- Assists the Program Manager in managing the day-to-day operations of the social services program.
- Serves as the main point of contact for Case Management Specialists, conducting one-on-one meetings, addressing concerns, and providing guidance on program procedures. Monitors staff performance, initiates behavioral coaching as needed, and offers support to ensure objectives are met. Tracks and logs CMS communications with clients, ensuring timely follow up through contact letters and documentation.
- Manages the intake of client referrals, ensures accurate documentation and timely distribution to Case Management Specialist (CMS) based on caseload and expertise. Initiates client contact upon receipt of referral, provides program details and communicates expectations. Maintains electronic records using Jot Form, MS Office, Google, and GEOSOL/NC Works platforms to ensure completeness and accessibility.
- Builds and maintains strong relationships with partner agencies, facilitating communication regarding referrals, program updates, and joint initiatives. Regularly meets with partners to align goals and ensures smooth collaboration. Addresses client concerns promptly, acting as a mediator to resolve issues while maintaining satisfaction and compliance with program policies.
- Plans and executes outreach and marketing strategies to promote the program, including organizing events like workshops and community activities; Creates and distributes promotional materials such as flyers, brochures, and social media posts to effectively communicate the program’s mission.
Education and Experience:
- Bachelor’s degree from an accredited college or university in Social Work, Human Services, or related field (Master’s preferred) AND
- 2 years of experience in social services or program management, with a demonstrated understanding of community resources and client needs; OR
- Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
