What are the responsibilities and job description for the Medical Records and Scheduling (Part-Time) position at The Schwarzbein Institute?
Immediate Opening: Santa Barbara solo endocrinology practice has an immediate opening for a part-time, tech-savvy office professional to perform Records Management and Scheduling functions.
Your Role: The primary purpose of the Records Management/ Scheduling (RMS) position is to ensure that: (i) patients are timely seen by the doctor; (ii) preparation for all patient appointments is complete; and (iii) all information regarding our patients is accurately and correctly maintained and readily accessible in our medical records.
- Scheduling: In accordance with applicable protocols, perform the necessary functions to ensure that patients are scheduled to see the doctor within established time frames and parameters.
- Appointment Preparation: Perform all designated functions in preparation for all patient appointments including ordering lab tests and following up to obtain lab test results, contacting patients to acquire needed information, preparing the patient's chart, and sending reminders and confirmations.
- Medical Records: Ensure that incoming records and documents are timely incorporated into the patient’s chart, that each patient’s contact/related information is current and accurately reflected in the patient’s chart, and timely respond to medical records requests.
Background/Qualifications: Ours is not a typical doctor’s office/clinic with exam rooms and people wearing scrubs; it functions more like a business office. Our patients come from all over the country and other countries. We do all of our appointments through our telemedicine platform; no patients are currently being seen in-office.
- Requirements: Previous office experience and proficiency using a PC computer to access and use online/web delivered systems/tools/data such as Google Docs is essential. Medical office experience is not required.
- Skills: This position requires a high degree of organization, the ability to multi-task, vigilant attention to detail, and strong written and verbal communication skills.
Hours/Compensation/Benefits:
- Hours: To accommodate your other commitments, we can structure your 18-24 hour work week on a three, four, or five-day schedule during the hours of 8:00 AM and 5:00 PM Monday through Friday.
- Compensation: This is an hourly paid position. Starting hourly rate will be based on previous skills and experience. Increases will be based on performance.
- Benefits: No benefits are offered as this is a part-time position.
