Job Title: Donor Relations, Events, and Volunteer Director

Job Summary
The Shalom Project is seeking a full-time Donor Relations, Events, and Volunteer Manager to support our mission and expand our community outreach. The ideal candidate will oversee donor engagement, event planning and implementation, volunteer coordination, and organizational communications. This role requires a dynamic and detail-oriented professional to manage multiple responsibilities, ensuring the smooth operation of fundraising efforts, community events, and volunteer programs. The position works closely with the Executive Director and other key staff to drive the success of The Shalom Project's programs and initiatives.
Job Responsibilities
Donor Relations:
- Donations Management
- Enter and process all monetary donations into the database.
- Send personalized thank-you notes via email or paper, ensuring a heartfelt, timely response.
- Maintain up-to-date and event-appropriate donor communications.
- Track donations by campaign, ensuring accurate reporting and donor recognition.
- Donor Engagement
- Further develop donor base, including corporate and organizational donors
- Reach out to donors on gift anniversaries and other significant dates to maintain strong relationships.
- Develop creative ways to thank donors and recognize their contributions.
- Promote and manage sustaining gifts and donor retention strategies.
- Provide relevant donor information to the Board and Executive Director as needed.
- Interact professionally, sincerely, and personally with all donors, regardless of giving level.
Events/Campaigns:
- Event Planning & Implementation
- Develop, plan, and execute community events and fundraisers, with a goal of at least four events per year.
- Solicit, negotiate, and coordinate event sponsorships to ensure financial support.
- Establish and maintain relationships with vendors, venues, and event partners.
- Design and implement marketing strategies to promote events and maximize participation.
Communications:
- Email and Digital Communications
- Design, write, send, and track all email communications to The Shalom Project’s contact lists, including monthly updates and special event invitations.
- Create engaging content for the organization's newsletters, email blasts, and other digital communications.
- Marketing Materials & Website
- Develop and create organizational marketing materials (signs, banners, flyers, etc.) for events and fundraising efforts.
- Maintain and update the organization's website to reflect current programs, events, and initiatives.
- Plan and execute an annual End of Year Mailing/Appeal, including concept development, design, printing, and promotion.
Volunteer Coordination:
- Recruitment & Supervision
- Recruit, interview, screen, train, and supervise volunteer staff for all events.
- Work with staff to identify volunteer needs across all departments and match volunteers with appropriate opportunities based on skills and availability.
- Volunteer Program Management
- Organize volunteer recognition and appreciation events to acknowledge their contributions.
- Regularly check in with volunteers to ensure their roles align with their skills and goals.
Skills and Qualifications:
Required Skills
- Excellent interpersonal skills, with the ability to build relationships with donors, volunteers, and event participants.
- Strong oral and written communication skills, including email writing, public speaking, and content creation.
- Proficiency in database management and reporting.
- Basic graphic design skills for creating marketing materials.
- Familiarity with website management and maintenance.
- Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
- Demonstrated creativity in donor engagement and event planning.
- Ability to lead and motivate volunteers and staff effectively.
- Proficiency in Microsoft Office Suite or similar software tools.
- Bilingual in Spanish and English is preferred but not required.
Education and Experience
- Associate degree or equivalent work experience is required; a bachelor’s degree in a related field is preferred.
- Prior experience in fundraising, event planning, or volunteer management is strongly preferred.
- Proven ability to work independently and as part of a collaborative team.
- Spanish-speaking is a plus.
Physical Requirements
- Must be able to move throughout program sites and lift materials up to 25 lbs. as necessary.
