Job Title: Bookkeeper

Position Summary
The Bookkeeper will handle day-to-day accounting and bookkeeping tasks, including
payroll, inventory management, and fixed asset tracking. This role also supports the
preparation of the agency’s budget, tracks grant expenditures, and assists with financial
reporting. In addition, the Bookkeeper will provide general office support, including
answering phones and occasionally providing coverage for the retail store.
Key Responsibilities
Monthly Financial Statements: Process accounts payable, prepare month-end
journal entries for accounts receivable, allocate expenses, and perform bank
reconciliations. Ensure all financial tasks are accurate and completed on time.
Budget Monitoring: Compare actual expenses with budgeted amounts and
explain any discrepancies.
Cash Flow Management: Monitor the agency’s cash flow to ensure financial
stability.
Inventory Management: Conduct a physical inventory count at the end of each
calendar year.
Payroll Processing: Process bi-weekly payroll and review payroll tax returns for
accuracy.
Financial Reporting: Prepare and submit required financial reports for the
leadership team, funding agencies, and the Board of Trustees.
Sales Tax Returns: Complete and submit sales tax returns as required.
Budget Preparation: Assist the leadership team in preparing the annual budget
and provide support for other financial tasks as needed.
Confidentiality: Safeguard consumer and employee payroll information,
maintaining strict confidentiality.
Required Qualifications
Education: High school diploma required. An Associate’s degree in accounting
or bookkeeping certification is preferred.
Experience: Knowledge of nonprofit accounting standards and experience with
accounting software (MIP, or similar). Ability to track multiple revenue streams
and manage funding restrictions.
Technical Skills: Proficiency in Microsoft Office and accounting software.
Self-Starter: Ability to work independently with minimal supervision.
Organization: Strong organizational skills and attention to detail.
Communication: Ability to communicate effectively with a diverse group of
people, particularly seniors and individuals with disabilities.
Professionalism: Maintain a professional demeanor and attitude in all
interactions.
Physical Requirements: Ability to see within normal limits. Most work is
performed in an office environment, with occasional travel required.
Working Conditions
Work is typically performed in an office setting with limited exposure to
unpleasant working conditions. Infrequent travel may be required.
