ROLE RESPONSIBILITIES

  • Champion impactful workflows, projects, and processes ensuring alignment with agency messaging, values, and goals.
  • Provide strategic oversight on integrating experiential impact metrics to measure effectiveness.
  • Foster collaboration across internal teams (accounts, creative, experiential, operation, strategy) and client for seamless communication and feedback.
  • Develop and maintain comprehensive project production timelines and process documentation.
  • Collaborate with leadership to ensure staffing, systems, and templates reflect current market trends.
  • Oversee Experiential Production Budgets, conduct Vendor Research, and identify cost-effective, high-quality options.
  • Manage Bookkeeping and Profit Loss Reconciliation, freelancer processing / invoicing in compliance with company policies.
  • Handle vendor and venue invoicing, hotel contracts, and accommodation logistics for projects.
  • Integrate diversity, inclusion, and social impact metrics (e.g., BIPOC, LGBQTIA, environmental, etc) into project planning.
  • Oversee the end-of-year client gifts program in collaboration with leadership.
  • Stay informed on trends, technologies, and innovations in experiential production to enhance agency work.
  • Foster a culture of excellence with clear accountability, metrics, and continuous improvement.
  • Embody and reflect the agencys goals, values, and culture, fostering growth, inclusivity, and innovation.

Qualifications Skills

  • Minimum of 4 years experience in experiential production management, line event planning, or a related field with a strong portfolio of successful projects.
  • Agency experience managing medium-to-large-scale, multi-disciplinary experiential campaigns / activations is highly preferred.
  • Project Management

    • Proven ability to manage multiple complex projects with tight deadlines.

  • Skilled in creating and maintaining detailed timelines, schedules, and documentation.
  • Strong budgeting and P&L management skills with financial oversight experience.
  • Exceptional organizational, multitasking, time management abilities.
  • Production Logistical Management

    • Expertise in end-to-end production processes, including planning, execution, and post-event analysis.

  • Skilled in venue selection, transportation, inventory management, on-site setup, and teardown.
  • Strong logistical planning for staffing, equipment, materials, and signage.
  • Experience with risk management and troubleshooting during activations to handle on-the-ground coordination ensuring the team stays aligned with timelines.
  • Proficient in supply chain management, including sourcing, shipping, and storage.
  • Incorporate sustainable practices into event planning and execution, including waste reduction, eco-friendly sourcing, and energy-efficient solutions.
  • Vendor and Client Management

    • Extensive experience in vendor sourcing, relationship management, and contract negotiation.

  • Skilled at managing client relationships and ensuring effective communication.
  • Team Collaboration

    • Proven ability to manage and motivate freelancers and contractors, promoting and performance

  • Collaborative approach to working within and across cross-functional teams..
  • Metrics Impact

    • Incorporate diversity, inclusion, and environmental metrics into experiential programming to ensure experiential projects reflect diverse perspectives, align with DEI initiatives, and remain accessible to all audiences.

  • Define and track KPIs (e.g., audience engagement, client satisfaction, and ROI) to evaluate project success and inform future strategies.
  • Prepare post-project reports with actionable and recommendations for optimization.
  • Utilize tools to measure and analyze project impact effectively.
  • Communication

    • Strong written and verbal communication skills for documenting processes and managing relationships.

  • Excellent interpersonal skills with discretion in handling sensitive information.
  • Technology Tools

    • Proficiency with project management tools (e.g., Asana, Bamboo, Lasso) and financial software (e.g., Excel, Quickbooks).

  • Familiarity with event management platforms (e.g., Lu.Ma, Eventbrite, Whova), is a plus.
  • Passion for integrating emerging technologies into experiential strategies.
  • Creative and Strategic Thinking

    • Strategic and creative problem-solving to ensure successful project execution.

  • Adaptability in addressing challenges and optimizing logistical plans.
  • Additional Requirements

    • Ability to lift 50 pounds comfortably.

  • Valid Drivers License required.

  • The base salary band for this role is $75,00090,000. Individual compensation varies based on job-related factors, including location, level of responsibility, experience, and qualifications.
