Are you passionate about animal welfare and looking for a rewarding administrative role? The Spay Neuter Project, a high-volume, low-cost spay/neuter clinic, is seeking a detail-oriented and friendly Administrative Assistant to be the face of our organization.
About the Role
As our Administrative Assistant, you’ll be the first point of contact for clients, providing excellent customer service in person, over the phone, and via email. You’ll also handle scheduling, maintain accurate medical records, process payments, and assist with various administrative tasks to keep our clinic running smoothly.
Key Responsibilities
- Greet and assist clients during check-in/check-out
- Manage appointment scheduling and maintain accurate client records
- Process payments and ensure accounts are up to date
- Answer phone calls, emails, and online inquiries professionally
- Maintain accurate pricing and service information across all platforms
- Prepare bank deposits, run errands, and manage mail
- Assist with donor database entry and thank-you letters
- Order and maintain office supplies and equipment
- Generate monthly reports as needed
- Train and oversee front desk volunteers or administrative staff
- Provide backup support for other administrative roles as needed
What We’re Looking For
Required Skills & Qualifications:
- Strong customer service and communication skills
- Ability to learn and explain basic veterinary concepts (training provided)
- Proficiency in Microsoft Office and Windows-based platforms
- Strong attention to detail and ability to multitask in a fast-paced environment
- Reliable transportation and a clean driving record
- Ability to lift up to 50 lbs (with assistance) and work on your feet for extended periods
Preferred Experience:
- 1 year of experience in a veterinary clinic, shelter, or animal-related organization
- Previous experience in an administrative or customer service role
Work Environment & Schedule
- Schedule: Four days per week (Tuesday–Friday), with occasional evening or weekend needs
- Work Environment: Fast-paced, dynamic clinic setting—must be comfortable handling stressful situations, multitasking, and working with pet owners
