Position Purpose: The purpose of the Executive Assistant & Advancement/Development Support role is to provide administrative support to the Head of School and the Director of Advancement & Development
Overview: This dual role supports both the Head of School (HOS) and the Director of Advancement & Development, focusing on administrative tasks, event coordination, and effective communication. The ideal candidate will be adept at managing multiple priorities, maintaining confidentiality, and fostering relationships within the school community.
Key Responsibilities:
Administrative Support:
• Coordinate and prepare materials for weekly Administrative Leadership Team meetings and monthly Board of Trustees meetings, including agenda organization, minutes recording and distribution.
• Assist with HR tasks such as maintaining employee records and managing employment agreements.
• Support the Director of Advancement & Development in managing donor databases, coordinating mass mailings, and preparing promotional materials.
• Ensure effective operation of administrative offices through routine data maintenance and system improvements.
Communication and Relationship Management:
• Maintain excellent written and oral communication skills to effectively represent leadership and liaise with various stakeholders.
• Build and sustain internal relationships, attending school events and participating in community engagement.
• Manage sensitive communications with parents, staff, and external parties, ensuring discretion and professionalism.
Event Coordination:
• Assist in organizing and executing fundraising events, including major annual events and smaller functions throughout the year.
• Provide logistical support for school-wide events, collaborating with cross-campus offices as needed.
General Responsibilities:

• Educational Background: Bachelor’s degree required.
• Experience: Minimum of 5 years in an administrative role.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google applications.
• Availability: Flexibility to attend and assist at school events outside standard working hours.
Salary : $65,000 - $75,000
