Job Summary: Patient Service Specialist
Patient Service Specialist in a medical oncology office is responsible for ensuring the efficient and smooth operation of the front desk area while providing exceptional customer service to patients and visitors. This position involves managing patient check-ins, appointment scheduling, patient records, insurance verification, and facilitating communication between patients, healthcare providers, and staff. The ideal candidate will have a professional and compassionate demeanor, with a strong understanding of oncology procedures and office protocols.
Key Responsibilities:
- Patient Check-In and Check-Out:
- Greet patients and visitors with a warm and welcoming attitude.
- Ensure accurate patient check-in, including verifying demographic and insurance information.
- Insurance Verification & Billing Support:
- Verify patient insurance coverage and obtain necessary pre-authorizations for treatments.
- Collect patient co-pays, deductibles, and other financial information.
- Assist with ensuring accurate patient data is entered into the system for billing purposes.
- Patient Records Management:
- Maintain and update patient records, ensuring all information is accurate and confidential.
- Ensure proper filing and organization of medical records in compliance with HIPAA regulations.
- Communication & Coordination:
- Answer patient calls, address inquiries, and direct calls to the appropriate department or healthcare provider.
- Act as a liaison between patients, oncologists, and clinical staff to ensure smooth patient flow and timely treatment.
- Customer Service:
- Ensure all patients receive a positive experience by providing timely and helpful service.
- Address patient concerns with empathy and professionalism.
- Assist with patient education, providing information about office procedures, insurance, and available services.
- General Office Operations:
- Maintain a clean and organized front desk and waiting area.
- Order office supplies and maintain inventory as needed.
- Assist with other administrative tasks as directed by the Office Manager or practice leadership.
Qualifications
Qualifications:
- High school diploma or equivalent required
- Prior experience in a medical office, particularly in an oncology or healthcare setting, is preferred.
- Familiarity with medical terminology, particularly in oncology, is a plus.
- Knowledge of medical office software, scheduling systems, and electronic health records (EHR) systems.
- Strong customer service skills with the ability to handle sensitive patient information with confidentiality and professionalism.
- Excellent communication skills, both verbal and written.
- Ability to multitask, manage time efficiently, and stay organized in a fast-paced environment.
