The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.


OPS ADMINISTRATIVE ASSISTANT II:

The position serves as the administrative assistant for the Office of Minority Health (OMH). The incumbent in this position will work with OMH staff, especially the Tobacco Prevention & Control Program team, to complete purchasing and other administrative duties.


Your Specific Responsibilities:

  • Manage the Tobacco Prevention & Control Program’s purchasing activities and support other Office of Minority Health programs’ purchasing activities as directed.
  • Act as a backup for the Community Health Division’s purchaser/Administrative Assistant II.
  • Provide administrative support for the Tobacco Prevention & Control Program and other Office of Minority Health programs. Tasks include, but are not limited to, answering phone calls, processing program mail, coordinating meetings, manage office supplies inventory, etc.
  • Provide input and summary for budget changes and assist with completing required tobacco program reporting.
  • Completes cross-training and provides support to other tobacco prevention policy areas as assigned by the supervisor.
  • Attend staff meetings and trainings as required.

Required Knowledge, Skills, and Abilities:

  • Ability to operate commonly used office equipment such as computers, printers, label maker, paper shredder, plotter for making posters.
  • Ability to use Microsoft Office products (Outlook, Excel, Word, PowerPoint).
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge of FDOH purchasing policies, rules, and regulations.
  • Knowledge of office procedures and practices.
  • Knowledge of the methods of data collection.
  • Skill in organization and coordination of multiprogram office operation.
  • Skill with interpersonal communications to work effectively with diverse community partners and work environment.
  • Skill in applying general rules, policies, and procedures to specific work situations.
  • Ability preparing written reports.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to understand and apply applicable office and agency rules, regulations, policies, and procedures. Ability to deal with the public in a tactful and courteous manner.
  • Ability to work independently.
  • Ability to utilize problems-solving techniques.
  • Ability to plan, organize and coordinate work assignments.

Qualifications:

Minimum

  • You must not use any tobacco or electronic nicotine devices (ENDS) to work in this position.
  • Willing to work outside of normal work hours to provide occasional services and attend meetings/events.
  • Have reliable transportation to use for work related purposes and a valid driver’s license.
  • At least 1 year of related job experience (administrative tasks)
  • At least 1 year of experience using IT applications, including Microsoft Work, Teams, Outlook, Excel, PowerPoint

Preferred

  • At least 1 year of experience in tobacco control or prevention
  • At least 1 year of experience with Florida Department of Health's purchasing policies, rules, and regulations.
