Minimum Qualifications:
Two (2) years employment experience working in a professional office environment performing administrative or clerical functions.
Computer proficiency to include Microsoft Office Word, Excel and Outlook.



Preferred Qualifications: Preference will be given to candidates with the following qualifications:
One or more years of working in the State of Florida’s People First system

One or more years of experience working with My Florida MarketPlace (MFMP)


Requirements:
Employment in this position is contingent upon a satisfactory criminal history check (fingerprint-based) in accordance with Chapter 435, Florida Statutes.

Ability to work Monday through Friday, between 8:00am and 5:00pm, up to 40 hours a week. Not eligible for Telework.

Position Overview and Responsibilities:

The Finance and Budget Office (FBO) is seeking a self-motivated individual to serve as an administrative assistant performing personnel, purchasing, and other major office functions. This executive level support position reports directly to FWC’s Chief Financial Officer (CFO) and is pivotal in providing support required for the daily operations of FBO, which includes the following sections: Budget, Accounting Services, Grants, and Revenue.


Duties include but not limited to:

  • Works independently assisting FBO leadership with the coordination of administrative tasks and/or assignments
  • Assists FBO Human Resources Liaison with management of People First advertising, hiring, onboarding, and departure of employees
  • Responsible for maintaining and ordering office supplies
  • Responsible all FBO purchases using My Florida MarketPlace (MFMP) and Works
  • Assists FBO staff with meeting preparation, such as room preparation, printing schedules, agendas, documents, etc.
  • Attends and takes meeting minutes for FBO meetings
  • Serves as a Preparer in the Statewide Travel Management System (STMS) and coordinates travel, as needed, for FBO staff
  • Provides support during Legislative Committee weeks and Session
  • Assists with upkeep of FBO SharePoint sites
  • Ensures files and documentation are complete, accurate, and confidentially maintained
  • Assists with coordinating team building activities and office events
  • Performs other duties as assigned

Knowledge, Skills and Abilities:
Knowledge in using Microsoft Office Word, Excel, Outlook and Adobe Pro
Possess good customer service, telephone and clerical skills
Knowledge of general office etiquette and office management

Ability to communicate effectively both orally and in writing

Ability to work independently
Ability and desire to work in an extremely fast-paced, team environment
Ability to multi-task, prioritize and meet deadlines

Ability to act on changing priorities and responsibilities

Ability to organize and file documents
Ability to establish and maintain effective working relationships with others
Ability to work in a confidential environment

Possess strong organizational skills and high attention to detail
