The State of New Hampshire, Department of Labor, Legal Services Bureau has a full-time vacancy for a Collections Coordinator.

Summary:

To coordinate, supervise, and organize legal research and collection functions related to Workers’ Compensation and Wage and Hour for the Legal Services Bureau of the Department of Labor.

YOUR EXPERIENCE COUNTS : Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

MINIMUM QUALIFICATIONS:

Education: Associate's degree from a recognized college in business science with major study in legal science, business, or legal stenography, paralegal studies or a related legal field. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Five years' experience as a Legal Secretary, paralegal, or in an area which provided experience with legal terminology. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification: None required.

Recommended Work Traits: Knowledge of legal office methods, policies, and procedures. Knowledge of the system of organization of New Hampshire Statutory Law and sources of reference material. Skill in the taking and transcribing of legal dictation. Ability to prepare legal documents of a highly complex nature, utilizing specialized formals. Ability to set up and maintain a confidential system of files. Ability to establish and maintain effective working relationships with attorneys, secretarial, and other employees within the department. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority.

Responsibilities:

Supervises and coordinates administrative support functions in the Legal Services Bureau to ensure timely and accurate completion of legal work related to filings in small claims, maintaining metrics and interfacing outside the Legal Unit to both internal and external customers.

Investigates and provides written responses to complaints and other inquiries from companies and/or employers regarding civil penalties for unpaid fees or fines.

Composes various types of correspondence to include procedural instruction to carriers and employers, payment plans, settlements, and demand letters for delinquent files. Monitors the collection of overdue fees and employer payment plans for compliance; uses independent judgement to follow-up with cases including initiating contacts and recommending actions.

Determines and maintains file archiving and maintains document lists for scheduled cases as well as for collection files.

Prepares and proofreads circuit court or hearings actions to initiate/enforce collections efforts and in filing liens against entities owing fines/fees.

Compiles and prepares reports regarding collection cases and, in doing so, coordinates with assigned attorneys for further action.

Maintains records of all monies received regarding collection cases, overdue fees, and settlement agreements. Transmits records of monies received to supervising attorney and relevant department staff.

Conducts research and organizes cases that have been referred to the legal unit to assist agency administrators in case management.

Monitors policies and procedures to promote the efficient operation of the bureau and identifies potential issues and recommends changes to business processes to meet Departmental needs.

Coordinates and trains staff in usage of software to effectively manage caseloads and case status. Produces procedural manuals.

Receives, reviews and assigns petitions, ensuring hearing and/or court deadlines are met.
