SUNY System Administration's Office of Special Events is searching for a dynamic individual to join our team. This position will proactively provide a broad range of professional services and report to the Director of Special Events. The Office manages an average of fifty meetings/events every month, including meetings for the Board of Trustees and SUNY Presidents, press events, and departmental conferences.
Specific Duties Include:
Primary responsibility for the setting up and breaking down of meetings, events, and conferences, including setting tables, chairs, and equipment as required and delivering catering.
Serve as a backup to the Events & Office Operations Manager in processing and evaluating catering requests received by the Office of Special Events. Communicate food policies to all requesting parties.
Ensure internal departments notify all building stakeholders of scheduled events at SUNY Plaza in a timely fashion and coordinate notifications as needed.
Prior to an event, check facilities for cleanliness and accuracy in room setups.
Assist in reception/administrative duties such as greeting visitors and provides high level of customer service to event attendees.
Work closely with A/V technicians on needs for all events at SUNY Plaza, including troubleshooting primary A/V setups.
Maintain accurate and secure electronic and paper records, including inventories and timeline-sensitive data.
Understand and uphold all internal policies about events and communicate these policies effectively to stakeholders.
Manage special projects as designated by the Director of Special Events.
Job Requirements:
Qualifications:
Bachelor's degree
At least 1 year of event or conference experience.
Excellent interpersonal and verbal communication skills.
Excellent organizational skills: ability to manage multiple events; strong attention to detail.
Ability to lift and carry items weighing up to 40 pounds.
Flexible hours with occasional evenings and weekends.
Working knowledge of Microsoft Office, internet navigation, and database use. Familiarity with PowerPoint and Photoshop.
Experience with Visio is a plus.
Experience working with government entities is a plus.
Additional Information:
Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $50,000-$54,000 annually.
State Title: Staff Assistant (SL-2) and is part of the United University Professions Union.
