Job Overview: The Executive Assistant to the Office of Workforce Development will be responsible for providing complex and confidential administrative support to the Workforce Development Office of the State University of New York (SUNY). Responsibilities Include
- Research and coordinate confidential and sensitive data related to employment and workforce information for the preparation of documents, reports, tables, and charts.
- Work closely and collaboratively with members of other strategic offices in System Administration, including the Office of the Chancellor, Office of Research, Innovation and Economic Development, and the Office of Community Colleges & the Education Pipeline to share information related to Workforce Development and System Administration initiatives.
- Be the initial point of contact for questions concerning programs, policies, and procedures with the ability to understand when more detailed answers are required and where to direct inquiries further.
- Manage and prioritize tasks and all forms of correspondence, keeping the office staff advised of time-sensitive issues, ensuring deadlines are met and work is completed to a high standard.
- Provide support to the Vice Chancellor on all office projects, including assisting with monitoring trends and initiatives related to Workforce Development.
- Track and follow up on tasks assigned to staff reporting to the Vice Chancellor.
- Manage all aspects of the Vice Chancellor's complex calendar, including scheduling meetings, appointments, and coordinating travel arrangements. Exercise discretion in committing time, evaluating needs, and ensuring appointments and meetings are organized and timely.
- Assist with event planning and coordination, including conferences, meetings, and other special events with a high degree of independence and reliability.
- Maintain confidential records and information with the utmost discretion in an organized manner.
- Complete a variety of special projects as needed and assigned by the Vice Chancellor.
Required Qualifications:
- Minimum of an Associate's Degree
- 3-5 years of experience in a similar executive assistant role
- Excellent organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Strong written and verbal communication skills
- Proficient in Microsoft Office suite and other relevant software programs
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong attention to detail and accuracy
- Ability to work independently and as part of a team, with excellent interpersonal skills
- Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $66,000-$77,000 annually.
- The Executive Assistant in the Workforce Development Office will work in an office environment and may be required to work occasional evenings or weekends to support schedules. This position does not require travel.
