EVENT COORDINATOR
Technical Position Expectations:
- Brand Partnerships: The Event Coordinator works directly under the Event & Brand Director in cultivating and managing brand partnerships, ensuring all aspects of agreements are upheld.
- Activations: The Event Coordinator, under the supervision of the Event & Brand Director, is responsible for overseeing all brand activations, on site and off site, regardless of scope. This includes but is not limited to: liquor partner giveaways, retail pop-ups, celebrity spirit launches, weekly community events, and brand dinners.
- Large Party Reservations: The Event Coordinator is responsible for sourcing, booking, organizing, and executing large party dinner and brunch reservations for parties of 10-25 guests. Weekly booking goals will be set by the Event & Brand Director.
- Event Booking Platform: Under the supervision of the Event & Brand Director, the Event Coordinator is responsible for managing the Event Booking Platform, including but not limited to the following tasks: inputting all BEO information; printing BEOs daily for restaurant, Deck, and culinary use; updating pricing and payment information; contacting clients regarding payments; and ensuring payments have been collected and processed in a timely manner.
- Event Execution: Under the supervision of the Event & Brand Director, the Event Coordinator is responsible for overseeing the successful execution of in-house events through utilizing the following: proper communication with FOH and BOH operations; engagement with clients from initial contact to conclusion of event, ensuring satisfaction on both the clients’ and company’s part; proper payment processing through POS system, ACH wiring, or other methods, including communication with accounting and on-site management; utilizing event opportunities to collect information to build leads and upsell for future events.
- Inventory: Under the supervision of the Event & Brand Director, the Event Coordinator is responsible for maintaining an inventory of event-related items including but not limited to: service ware, table décor (chargers, candles/votives, runners, florals), card stock (and other office related items), as well as a detailed contact list of event clients for future reference.
Hours:
- The Event Coordinator role is a full-time position, which requires fully dedicating all business time to executing the above responsibilities and tasks. This position is not eligible for overtime pay should 40 hours per week be exceeded.
