The Surgical Clinic (TSC) is a group of private practice surgeons representing many specialties of surgical practice to develop patient-focused, conveniently located places to give patients access to needed surgical procedures close to home. Since its founding in 1997, The Surgical Clinic has continued to attract talented surgeons, becoming one of Middle Tennessee’s most respected practices.
TSC specializes in bariatric surgery, breast surgery, general surgery, plastic surgery, podiatry, surgical oncology surgery, vascular & endovascular surgery, and veins. In addition, TSC has established several Vascular Procedure Centers, TSC prosthetics and accredited ultrasound labs.
Position Summary
The Patient Service Representative provides excellent customer service both in person and over the phone, greets patients and visitors upon their arrival at the clinic, schedules appointments, maintains medical records, verifies insurance, and ensures that all experiences with our office meet a superior standard. Recognizing that surgery is a stressful time, it is crucial to confidently offer exceptional customer service.
Key Responsibilities
Provide excellent customer service to patients, referring physicians, and anyone that calls TSC clinic
Perform front offices duties including, but not limited to: checking in patients and visitors for appointments and meetings, collecting copays, deductibles and self-pay balances; direct patient flow to ensure clinic efficiency; monitor waiting room
Verifies demographics and insurance and obtain referrals/authorizations prior to visit
Closing out end of day reports, collecting all money received to balance with reports, then submitting to CBO
Send appropriate paperwork and/or letters to patients regarding appointments
Schedule appointments and maintain clinic schedules for multiple physicians
Maintaining multiline phone system; obtaining appropriate information to transfer calls to proper person
Maintain patient records and process medical record request following HIPAA guidelines
Scanning patient records into EMR
Distribute dictated office notes and letters to referring offices
File patient data upon receipt of information
Performing data entry, copying, faxing, emailing
Performing other duties as requested
Requirements and Qualifications
High School Diploma or Equivalent is required.
Medical Terminology, specifically related to Vascular and General Surgery
Interpersonal/human relations skills, including telephone etiquette
Organizational skills
Electronic Medical Record
Ability to set priorities while multitasking
Ability to maintain confidentiality according to HIPAA guidelines
Knowledge of modern office equipment
