SUMMARY:
The Accounts Payable Manager is responsible for all activities in the Accounts Payable department. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate records and control reports. Reviews applicable accounting reports and accounts payable register to ensure accuracy. Familiar with a variety of the field's concepts, practices, and procedures. Relies on extensive experience and judgment to plan and accomplish goals. Performs a variety of tasks. Leads and directs the work of others. A wide degree of creativity, judgement and latitude is expected.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Manages daily, weekly, and monthly Accounts Payable activities including invoice processing, uploads, disbursements, document retention and storage process. • Oversees and ensures accuracy of credit card, purchasing card and vendor account reconciliations.Administers company credit card, including banking interaction, training, cardholder oversight.• Oversees the compilation, analysis, and reporting of accounts payable data to assess accuracy, completeness, conformance to reporting and procedural standards accuracy. • Develops, implements, and maintains payables systems, procedures, and policies, to ensure adherence to company guidelines and compliance with applicable regulations. • Manages payables to comply with monthly closing of financial records and posting of month end information; ensures accuracy of accounts payable data in the general ledger. • Ensure proper coding using job costing principals.• Verifies payable general ledger accounts are reconciled monthly to meet business needs.• Ensure timely processing and issuance of 1099s and related annual federal filings.• Responsible for timely reporting and filing of business property, excise, and other tax returns.• Acts as a liaison between the payables staff and management to meet information needs and to ensure that proper information is maintained for historical purposes. • Promotes a positive team work attitude. Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and makes recommendations for personnel actions. Motivates and rewards employees including providing salary recommendations and promotions within allocated budgets and company guidelines. • Provides accounting assistance to project managers and operations staff; responds to financial questions/concerns to meet business needs. • Assists with implementation of new systems and procedures to increase the efficiency of accounts payable processing and reporting.• Other duties as assigned.
EXPERIENCE, EDUCATION, AND LICENSURE:
Required:
• Associates Degree in business administration, accounting, finance, or related field or three (3) or more years of accounting experience.• Minimum of two years in a managerial or supervisory capacity.• Experience in leadership roles and displays problem-solving skills.• Expertise in IRS regulations relating to accounts payable processes.• Exceptional organizational and time management skills.• Strong communication skills and the ability to interface effectively with all levels of management.• Advanced computer skills in Microsoft Word, Excel, Outlook, and PowerPoint.• Ability to work independently and as part of a team.
Preferred:
• Bachelors Degree in business administration, accounting, finance, or related field preferred or Five (5) or more years of accounting experience; experience working with generally accepted accounting principles and accounting software.• Three (3) years managerial or supervisory experience.• Preference given to candidates with Deltek Costpoint experience.

SUPERVISORY RESPONSIBILITY:
• The position is responsible for managing the accounts payable department, its functions and staff.
WORK ENVIRONMENT:
Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system.
PHYSICAL REQUIREMENTS:
Essential and marginal functions may require maintaining physical condition necessary for bending, stooping, sitting, walking or standing for prolonged periods of time; most of time is spent sitting in a comfortable position with frequent opportunity to move about. On rare occasions there may be a need to move or lift moderately light items up to 35 pounds. Near visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone; manual dexterity to operate a telephone and keyboard; lift horizontally and vertically.
