Duties/Responsibilities:
- Parts and Service Quoting:
- Prepare accurate and timely quotes for parts and service requests from a designated major account.
- Collaborate with internal departments (e.g., parts, service technicians) to ensure accurate pricing and availability.
- Negotiate pricing and terms with the customer to maximize profitability.
- Additional responsibilities as assigned by management.
- Purchase Order (PO) and In-House Transfer Management:
- Generate and process purchase orders for parts and materials required for service or customer orders.
- Manage in-house transfers of parts and materials between departments or locations.
- Ensure accurate record-keeping of all POs and transfers.
- Additional responsibilities as assigned by management.
- Customer Service:
- Serve as the primary point of contact for the major account, addressing inquiries and resolving issues promptly.
- Build and maintain strong relationships with key customer contacts.
- Provide proactive communication regarding order status, service updates, and potential delays.
- Handle customer complaints and ensure customer satisfaction.
- Additional responsibilities as assigned by management.
- Billing:
- Generate and process accurate invoices for parts and service orders.
- Ensure timely and accurate billing according to customer agreements.
- Address billing inquiries and resolve discrepancies.
- Additional responsibilities as assigned by management.
- Accounts Receivable:
- Monitor customer accounts for outstanding balances.
- Follow up on overdue invoices and implement collection procedures.
- Maintain accurate records of customer payments and account activity.
- Work with the customer to resolve payment discrepancies.
- Additional responsibilities as assigned by management.
- Reporting and Documentation:
- Maintain detailed records of customer interactions, quotes, orders, and billing information.
- Generate reports on sales, service activity, and accounts receivable status.
- Ensure compliance with all company policies and procedures.
- Additional responsibilities as assigned by management.
Required Skills/Abilities:
- Proven experience in sales, customer service, and/or accounts receivable.
- Strong understanding of parts and service operations (specific industry knowledge is highly desirable).
- Excellent communication, negotiation, and interpersonal skills.
- Proficiency in using ERP systems and CRM software.
- Strong organizational and time-management skills.
- Ability to work independently and as part of a team.
- Strong problem-solving and analytical skills.
- Knowledge of accounting principles and practices.
- Ability to work under pressure and meet deadlines.
- Strong attention to detail.
