Duties may include administrative office support related work, learning specialized program work, contact with high-level managers, executives, and private entities.
Essential Duties:
- Process a variety of project documents, including submittals, RFIs, daily reports, letters, drawings, memos, and contractor change orders, RFP bidding document, California preliminary notice, and Board memoranda.
- Ensure accurate uploading and organization within the electrical document site (SharePoint site).
- Process project control professional contracts and task orders.
- Ensure all necessary documents are routed for signatures via DocuSign in a timely and efficient manner.
- Provide essential support to the office engineer by reviewing and preparing contractor change orders. Facilitate the DocuSign routing process, ensuring all documents are properly signed and approved by management.
- Actively engage in the testing and implementation of Unifier software for new projects, contributing to the enhancement and efficiency of project management tools and procedures.
- Develop and maintain few comprehensive professional contract logs for real estate contracts, On-Call Environmental Engineering Services log, Environmental Programs on call log, On-Call Surveying and Mapping Services log. Those logs ensure easy and quick access to project control related documents, improving team coordination and efficiency.
- Coordinate with other the project managers on contract change orders, task order.
- Upload and Process documents in Unifier, and coordinate with the copy center to print large quantities of contractor documents.
- Prepare necessary documents and materials for the project outreach program.
- Provide support for project miscellaneous document routing and assist with various administrative duties as needed.
- Direct document control activities for large organization
- Performs other job responsibilities as assigned.
